This article explains how to customise the behaviour of your BriqSafe app using the Settings menu. It covers managing your personal profile, security settings, notifications, and other options available within your account to tailor your user experience.

Updating Your Personal Profile
Keep your personal details up to date so that your information is correct across the platform.
- Open Account Settings in the sidebar.
- Go to the My Settings page and select the Account tab.
- Edit any of the following fields: First Name, Last Name, Phone, Bio, and Language.
- Click Save to apply your changes.
Note: You can choose only English, Spanish, or Dutch as the interface language. Changing the language switches the interface immediately as a live preview but saves your choice to your profile only after clicking Save. The Bio field accepts up to 500 characters. Your phone number is visible only to your legionella consultant and colleagues, not publicly.
Updating Your Profile Picture
Upload a profile photo so your colleagues and clients can recognise you across the platform.
- Open Account Settings > My Settings > Account tab.
- Click Edit photo on your avatar.
- Select a JPEG, PNG, or WebP image under 5 MB to upload. The photo replaces the initials avatar.
Note: Images must be JPEG, PNG, or WebP and under 5 MB. Other formats or larger files are rejected. You cannot remove a photo without uploading a replacement. Until you upload a photo, your initials are shown instead of an avatar.
Managing Your Password and Multi-Factor Authentication
Secure your account by reviewing your password and setting up multi-factor authentication (MFA).
- Open Account Settings > My Settings > Security tab.
- Use the embedded security widget to change your password or enrol/manage multi-factor authentication via a TOTP authenticator app or other configured methods.
Note: The security widget is hosted and embedded within BriqSafe; it is self-service with no organisation-wide enforcement. If the widget fails to load, an inline retry option appears.
Customising Your Notifications
Choose which notification topics you receive and through which channels: email, push notifications, or the in-app inbox.
- Open Account Settings > My Settings > Notifications tab.
- Browse topics grouped in collapsible sections. Each topic shows toggle switches for available channels — Email, Push, and Inbox.
- Toggle individual channels on or off per topic, or use a section’s master toggle to change all topics in that section for one channel.
- Click Save to update your preferences.
Notes:
- The available topics and channels depend on your organisation’s configuration and are supplied by the server.
- Some topics are required and appear locked-on, so cannot be disabled.
- Summary emails can be toggled on or off under the Summaries section, which includes Daily summary and Weekly summary via email only.
- The weekly summary toggle currently has no active backend producer, so switching it on does not send weekly emails.
Switching Between Organisations
If you belong to more than one organisation, you can switch between them to access different workspaces.
- Use the organisation switcher in the main navigation.
- Select the organisation you want and click Switch Organisation.
- The app reloads all organisation-scoped data for the selected organisation.
You can also switch organisations from My Organisations where your current organisation is marked as Current.
Note: Archived organisations are hidden from the switcher unless you are currently in one. Certain actions require you to switch into the organisation first (for example, editing or archiving).
Managing Users and Team Members (Managers Only)

If you are a manager, you can control team member roles, access, and status through Users & Teams.
Changing a User's Role and Access
- Go to Users & Teams and select a user.
- In the Update User panel, adjust their Role, Site Permissions, and Activity Category Permissions.
- Click Update to save changes.
Notes:
- Only an Owner can assign or remove the Owner role; Admin can only be assigned by an Admin or higher.
- The last Owner cannot be demoted or removed. To change the last Owner, first assign Owner to another active member.
- Changing a user's activity-category access updates permissions but does not affect jobs already assigned.
Deactivating or Reactivating a User
- In Users & Teams, open the user and select Deactivate User.
- Review the confirmation dialog, then confirm to revoke access immediately.
- To restore access, find the inactive user and select Activate User.
Note: Deactivation preserves historical records and only changes the user's status. A deactivated user cannot log in until reactivated.
Inviting External Users with Scoped Access
- When inviting a new team member, enable External User.
- Grant at least one location under Site Permissions by clicking Add Site.
- Select the required activity categories under Activity Category Permissions by clicking Add Activity Category.
Note: External users start with no access. Without location permissions, they can sign in but see nothing. Grant at least one location before sending the invitation.
Managing Certifications
Record and manage professional certifications on your profile to keep your credentials up-to-date.
Adding a Certification
- Open Account Settings > My Settings > Certifications tab.
- Click Add Certification to open the New Certification panel.
- Upload a certificate file (PDF, JPEG, or PNG).
- Choose the regulatory domain (automatically selected if only one exists).
- Select the certificate type, then enter the certificate name and issuing body.
- Optionally fill in certificate number, issue date, and expiry date.
- Click Add to save.
Note: The issuing body must be at least 6 characters. Certificate type selection requires choosing a regulatory domain first. Uploading a certificate file is required.
Editing or Deleting a Certification
- In the Certifications tab, click a certificate to open the Edit Certification panel.
- Update any fields or upload a new document.
- Click Update to save changes.
To delete a certificate, click Delete certificate and confirm.
Notes: Deletion is permanent. When editing, leaving the document field untouched keeps the existing file; a certificate must always include a document. Clearing issue or expiry dates is saved.
Using Biometric App Lock on Mobile
Enable biometric unlocking on your BriqSafe mobile app for quicker access without entering credentials every time.
- In the BriqSafe mobile app, open the hamburger menu.
- Tap Biometrics.
- Turn on the biometric toggle labeled Use Face ID, Use Touch ID, or Use Biometrics depending on your device.
- Confirm the biometric check when prompted.
- Optionally set the Lock Timeout to 1, 2, 5, or 15 minutes.
Note: Biometric unlock requires having enrolled biometric security on your device. If not enrolled, a 'Not Available' notice appears, and you must enrol it in your device settings first. The lock timeout minimum is 1 minute. This is a convenience to re-gate an active session and does not replace multi-factor authentication on sign-in. If biometric confirmation fails, the setting remains off.
