Add colleagues

This article explains how to add colleagues to your organisation in BriqSafe, including internal team members and external partners. It is intended for managers responsible for user and access management.

Add Colleagues to Your Organisation

Use the Users & Teams section to invite new team members or external partners with specific roles and access scopes.

  1. Open Users & Teams in the navigation.
  2. Click Add team member to open the Invite User form.
  3. In the Email address field, enter one or multiple email addresses. To add several, type or paste the addresses separated by pressing Enter, comma, or semicolon. Each appears as a separate chip.
  4. If inviting an external user (someone outside your organisation), enable the External User toggle.
  5. Choose a Role from the dropdown list. You can only assign roles at or below your own level. Note that selecting the Owner role sets the user as internal regardless of the external toggle.
  6. Under Site Permissions, click Add Site to specify the locations the user can access.
  7. Under Activity Category Permissions, click Add Activity Category to grant access to relevant activity categories.
  8. Review the details and click Invite User to send the invitation.

A confirmation message User invitation sent successfully will appear when the invitation is sent.

Important Considerations for Internal and External Users

  • Internal users start with full access to locations and activity categories, so your selections act as restrictions.
  • External users start with no access and need locations and activity categories explicitly granted. Their selections add access rather than restrict it.
  • An external user without any granted location can sign in but will see no content.
  • The Owner role cannot be assigned to external users; enabling External User has no effect if Owner is selected.
  • All users invited together in the same form receive the same role and access scope.
  • The roles shown in the dropdown depend on your own role. For example, only an Owner can assign the Owner role, and only Admin or above can assign Admin.
  • Invalid or duplicate email addresses will be flagged before sending invitations.

Edit a Colleague’s Role and Access

Update an existing team member's role and access when their responsibilities change.

  1. In Users & Teams, find and select the user.
  2. The Update User panel opens.
  3. Change the Role, Site Permissions, or Activity Category Permissions as needed.
  4. Click Update to save changes. The update takes effect immediately.

Notes:

  • Only an Owner can add or remove the Owner role.
  • Only Admin or higher can assign the Admin role.
  • The organisation must always have at least one Owner. Changing the last Owner’s role or deactivating them is blocked until another Owner is assigned.
  • Changing activity-category permissions updates access but does not reassign jobs already scheduled to the user. Review upcoming work after changes.

Re-invite or Withdraw Pending Invitations

If an invitation expires or a user did not receive it, you can resend or delete the invitation.

  1. In Users & Teams, locate users with Pending invite status.
  2. Select the user to open the Update User form.
  3. Optionally adjust their role, site permissions, or activity categories.
  4. Click Update and Reinvite to resend the invitation and save changes.
  5. To cancel the invitation instead, use the user’s Delete invite action.

Deleting the invite revokes it and removes it from the list; the recipient’s existing invitation link will no longer work.

Deactivate and Reactivate Users

When a team member leaves or their access must be suspended, deactivate their account. You can reactivate them later if needed.

  1. In Users & Teams, select the user.
  2. Click Deactivate User.
  3. Confirm in the dialog. This immediately revokes access, prevents login, and removes the user from active assignments.
  4. To restore access, open the user’s profile in the inactive list and click Activate User.

Note: Deactivation preserves historical data and is reversible.
