Viewing the Site Timeline
The Site Timeline provides a comprehensive chronological audit trail of all activity at a Location, including visits, jobs, compliance events, and Cases. This feature supports pattern recognition and compliance review, enabling users to effectively track the history and status of site-related actions and events over time.
When to Use the Site Timeline
The timeline is particularly useful in these contexts:
- Reviewing the historical activity at a Location.
- Preparing for compliance audits.
- Investigating specific incidents or recurring issues.
Accessing the Timeline
- Navigate to the relevant Location in the application.
- Select the Timeline tab to open the chronological feed of events.
The timeline presents events with details such as the date, event type, a summary description, and the actor responsible.
Filtering and Navigating the Timeline
To efficiently find relevant entries, you can apply filters to the timeline feed. Available filtering options include:
- Date Range: Set a Start Date and End Date to narrow down the period shown.
- Event Type: Filter by categories such as Site, Asset, Area, Incident, Job, Structure, or Sensor.
- Actor: Display events related to a specific user or team member.
Clicking any event in the feed opens the Event Details panel, revealing:
- Associated actor (e.g., engineer, consultant).
- Affected items such as assets, areas, or structures.
- Additional metadata relevant to the event.
Reviewing Job History Within the Timeline
The timeline integrates job records to assist in compliance verification and operational oversight. Key capabilities include:
- Filtering for Escalated Jobs: Use the Logbook tab within the Location and apply filters under Job category → Escalated action. Optionally narrow by date range or compliance domain to identify jobs that triggered compliance violations or resulted in Cases.
- Tracing Linked Cases: From a filtered escalated job list, open an event’s details to see metadata including the engineer and job specifics. Cases linked to escalated jobs can be reviewed separately by navigating to the Location’s Cases tab to monitor status and resolution history.
- Checking Activity Compliance Frequency: Filter job history by activity type (e.g., flushing, sample collection) and job action status (e.g., Completed, Scheduled, Overdue). Events show status badges and details like scheduled versus completed dates, frequency, results, and notes on overdue items to verify compliance adherence.
Asset and Area Timeline Views
To investigate the lifecycle and compliance history of individual Assets or Areas, the timeline view is accessible as follows:
- Asset Timeline: Open the asset detail page and scroll to the Activity History section. This displays creation, updates, deletions, device link/unlink events, and system-generated changes, including details on who performed the actions and when.
- Area Timeline: Open the area detail and select the Timeline button. This shows CRUD (create, read, update, delete) events for the area itself plus all contained assets, along with actor and timestamp information.
Exporting Filtered Logs for Audit
For regulatory audits or compliance documentation, the Location’s Logbook tab facilitates the export of filtered event records as branded PDFs:
- Open the Logbook tab at a Location.
- Use the Filters to narrow events by type (Site, Incident, Activity, Job), compliance domain, or date range.
- Choose the Export menu and select Export to PDF.
- Specify filter criteria and initiate the export by clicking Create Export.
- Monitor the export status (Pending → Processing → Ready) and then download the completed branded PDF, which includes Location details, filtered events, and pagination.
Reviewing User Activity History
Admins can audit a particular user's actions across the organisation for oversight or accountability:
- Navigate to Users & Teams → Team Members list.
- Edit the user record and scroll to the Activity History section.
- Review the chronological feed of all actions performed by that user, including jobs done, visits, and asset changes.
Supporting Multiple Roles and Use Cases
The Site Timeline serves various roles within the organisation:
- Consultants (Office): Use timeline and logbook views for operational review, compliance audits, and incident investigation.
- Building Owners: Access timeline feeds to verify completed compliance activities and review historical compliance events read-only.
- Admins: Leverage organization-wide audit trails and user activity histories for cross-site oversight and administration.
Summary
The Site Timeline in BriqSafe is a powerful tool for monitoring and reviewing all events associated with a Location over time. By utilizing its filtering, drill-down, and export capabilities, users can perform thorough compliance reviews, trace escalation chains, audit job histories, and maintain clear oversight of asset and area lifecycle events.
