Add areas and assets during a visit

Use the mobile app to register rooms or equipment you discover during a field visit. These additions are saved to the location, not to the visit, so they are available when the work is reviewed in the web app.

Before You Get Started

• To add a floor or room, the location must already exist.
• To add an asset, the room where it belongs must already exist.
• Adding rooms to scale in the plan editor requires structure-edit permission.

Add a floor or room from the mobile app

Add an unregistered floor or room without opening the plan editor.

1. Open Locations.
2. Open the location. It opens on the floor plan or the view you used most recently.
3. Open the header ⋯ menu and choose Tree view.
4. Open the ⋮ menu on a structure or floor row.
5. Choose Add floor or Add room.
6. For a new floor, enter a Name if needed and optionally enter the Floor level.
7. For a new room, enter the required Name.

A new area inherits its structure's facility type and control regime. If you give the area its own facility type, the control regime is selected again for that area.

Add an asset to a room

Add equipment discovered during the visit directly from the room in the location tree.

1. Open the location in the mobile app.
2. Open the header ⋯ menu and choose Tree view.
3. Expand the structure and floor.
4. Open the room's ⋮ menu and choose Add asset.
5. In Choose asset type, tap the required asset type.

Tapping an asset type creates the asset immediately. The asset takes its name from the type. There is no details form, save button, or submit step at this point. Add further details later with Edit.

The asset type determines the control-schema activities generated for the asset. Check the type before creating the asset, because a mistyped type produces the wrong work.

Understand asset approval

Approval is determined by your role when you add the asset; there is no draft option to choose.

• An asset added by an Owner, Admin, Manager, or Inspector is approved when it is created.
• An asset added by an Engineer waits for approval. Its screen shows a banner stating that it awaits an inspector's review.

While an asset is pending, nobody can save changes to its details, including the person who added it. Choosing a new type with Change type is also refused until a reviewer approves it. Move can still relocate a pending asset.

The person who added a pending asset can delete it from the asset's screen. For an Engineer, the action is shown as Request Deletion, but the pending asset is removed immediately rather than sent for review.

Review a pending asset

An Inspector or higher with asset-edit permission can approve or reject a pending asset.

1. Open the pending asset from the Assets list.
2. Review the banner stating This asset is pending approval.
3. Choose Approve or Reject.
4. When approving, optionally enter a comment.
5. When rejecting, enter the required comment.

Approving a newly added asset leaves you on the asset and changes the banner to an approval notice. Rejecting a newly added asset deletes it. An Engineer's pending asset must be approved before its details can be changed.

Draw rooms to scale instead

Use the floor plan editor when the new rooms must match the physical building.

1. Open the floor's plan editor.
2. Draw the rooms.
3. Save the floor plan.

A newly drawn room does not receive equipment until the floor plan is saved. If you try to add assets before saving, the message Please save the floor plan before adding assets to new rooms appears.

Important behaviour during visits

• On-site additions are permanent building-configuration changes, not drafts attached to the visit.
• A newly added room inherits its occupancy from its area type. Area types default to In Use, so a new room that is not updated appears occupied.
• If an open risk assessment includes the structure, an asset added to a covered area joins the assessment automatically. An Engineer's asset remains outside the assessment's Assets stage until an Inspector or higher approves it.
• If the asset is added to an area that the assessment does not cover, the area and asset stages can reopen. An assessment that is already completed is not widened this way.
