Can I deactivate or remove a user who has left the company?

Yes, if you have the Manager role or above, you can deactivate users who have left the company by going to Users & Teams, opening the user’s profile, and selecting Deactivate User. This immediately revokes their access and prevents login, but their historical records remain intact.

Only an Owner can deactivate another Owner, and the organisation must always retain at least one active Owner, so you cannot deactivate the last Owner without assigning another first. Deactivation clears the user as a default assignee for activity categories and locations, but any assigned open tasks such as Visits and Jobs remain assigned; you should manually reassign these open tasks as needed.

You can reactivate a user any time by locating them in Users & Teams under inactive members and selecting Activate User. Users are not deleted by deactivation, so their activity history stays available, ensuring audit trails are preserved.
