Assign tasks through settings

This article explains how to assign tasks through the Settings menu in BriqSafe. It covers how to set default assignees for activities, reassign visits, and manage visit templates to control task assignments.

Setting the Default Assignee for an Activity

Set which engineer is pre-selected by default for an activity's future visits.

  1. Go to the relevant location's Control Schema tab.
  2. Open the activity you want to assign.
  3. Change the assignee to the engineer who should be the default for upcoming visits.
  4. Save the changes.

Note that changing the default assignee applies only to visits scheduled after the change; already-confirmed visits are not reassigned automatically. The affected engineer receives a notification of the update.

Reassigning Scheduled Visits

If a scheduled visit needs to be assigned to a different engineer, you can reassign it as follows:

  1. Open the Scheduler and locate the visit you want to reassign.
  2. Open the visit's detail panel.
  3. Click Reassign.
  4. Select one or more replacement engineers with access to the visit’s location.
  5. Confirm the reassignment.

The visit and all its pending jobs will move to the new engineer(s). The original engineer is notified of the change. Only visits in the Scheduled or In Progress status can be reassigned, and completed or cancelled visits cannot.

Scheduling Visits from Visit Templates

Assign grouped activities by scheduling visits based on visit templates.

  1. In Scheduler, use To plan to locate occurrences of visit templates, which are shown separately from standalone activities.
  2. Open a visit-template occurrence to review its included activity types and job counts.
  3. Optionally, add or remove activity types for this single occurrence without altering the template itself.
  4. Set the date and start/end time of the visit.
  5. Assign one or more engineers to carry out the visit.
  6. Confirm to create a single visit containing all its jobs.

Changes to activity types in the visit occurrence apply only for that particular occurrence; future occurrences will follow the unchanged template.

Managing Visit Templates

Organization Settings - Visit Templates section for creating and managing reusable inspection visit templates, with a key action to add a new visit template via the "+ New Visit Template" button.

Visit templates define reusable groupings of inspection activities and are managed in Organisation Settings.

  1. Navigate to Organisation Settings > Visit Templates.
  2. Use the three-way scope toggle to select Organization, Clients, or Locations to manage templates at different levels.
  3. To create a new organisation-wide visit template, select Organization and click New Visit Template.
  4. Enter a template name and optional description.
  5. Add activities by dragging from the Available Activities panel.
  6. Leave the client field empty to make it organisation-wide, then click Create.
  7. For a client-specific override, select the client under Clients, then create a new visit template that extends the organisation-wide template.

Copying system visit templates into your organisation or client is also possible from this area using Copy System Visit Templates.

Only users with manager, admin, or owner roles can read or manage visit templates. Inspectors, engineers, and viewers do not have access to this feature.
