Configure review requirements for visits

This article explains how to configure whether visits require manager review after completion before they are finalized. It is intended for managers responsible for scheduling and controlling visits.

Enable or disable review requirements when scheduling a visit

Schedule Planner screen for managing engineer visit schedules with a New Visit form allowing assignment of site, date, time, review status, and activities to an assignee.

Set whether a completed visit must be reviewed by a manager before it is finalized during the scheduling process.

  1. In the Scheduler, locate the visit occurrence you want to schedule. You can find visit-template occurrences by toggling the To plan badge, which distinguishes these from standalone activities.
  2. Open the visit occurrence to review its activity types and job counts. You may add or remove activity types for that occurrence if needed.
  3. Set the date, start and end times, and assign one or more engineers as appropriate.
  4. Enable the Requires review after completion option to flag the visit for manager review once finished.
  5. Confirm the visit to create it with the review requirement set.

When the Requires review after completion flag is enabled, the completed visit is routed for consultant (manager) review after submission by the engineer. When disabled, the visit is considered closed as soon as the engineer submits it.

Note: This flag is set during scheduling but remains editable on the visit's detail panel in the planner if needed.

Review completed visits flagged for review

Managers can see all completed visits requiring review in one place and perform the review steps.

  1. Open the Actions worklist to view aggregated items across all locations.
  2. Find the Visits for review card, which shows the count of completed visits flagged as needing review.
  3. Click View visit on any item to open the dedicated review workspace for that visit.
  4. In the review workspace, inspect the visit floor-by-floor with job counts for completed, unable-to-complete, and not-completed jobs.
  5. Use the List view or Floorplan view tabs to examine jobs and assets in detail.

Note that the Actions worklist may cap the number of shown items and the visibility of this menu entry depends on permissions. The page can be accessed directly if not visible in the menu.

Complete the review and finalize the visit

Complete the review process and optionally generate the job report from the review workspace.

  1. Click the floating Complete Review and Report button in the review workspace.
  2. In the Complete Review dialog, select a report preset or choose Without Report to finish the review without exporting a report.
  3. Choose Complete and Send Report to queue the job report export and simultaneously mark the review as complete.
  4. If the visit contains unresolved escalated jobs (jobs skipped or cancelled without rescheduling), confirm the warning prompt to mark them as checked, or choose to go back if further action is needed.
  5. Confirm to complete the review. On success, you return to Actions and the visit leaves the review queue.

Important points:

  • The report export is queued before marking the review complete. A failure in queuing will leave the visit needing review for retry.
  • If report export succeeds but completing the review fails, retrying will re-queue the export. Duplicate PDFs may occur, though server-side deduplication tries to prevent this.
  • Only users with owner, admin, or manager roles can complete the review. Other roles may see the button but the server will reject their attempts.
