Customise tasks

This article explains how to customise activities, group them into reusable visit templates, and adjust how work is scheduled in BriqSafe.

Customise control-scheme activities

Note

Required role: Inspector or above

Add an activity when the required work is not already in a location’s control scheme.

  1. Open the location’s Control Schema.
  2. Select Add activity.
  3. Choose an Activity type.
  4. Under Applies to, select Select locations or assets, choose the structures, areas, systems or assets, and confirm with the tick button. Each selected entity receives its own activity.
  5. Choose a Frequency.
  6. Review the 12-month job estimate and select Save.

With Assets enabled under Selection level, selecting a building or floor also selects every asset below it. The selected count includes all resulting activities. A saved activity starts with the status To do.

Change an activity’s frequency

  1. Open the location’s Control Schema.
  2. Select the activity type and then the activity.
  3. Choose a new Frequency.
  4. Select Save.

The frequency picker includes options from Two times per day through Every week, Monthly, Yearly and 10 yearly. If you change the frequency of an activity created by a rule, it becomes custom. Select Restore rule frequency to return it to the rule.

A less frequent setting than the rule requires can be saved, although BriqSafe warns that it will not meet the rule. A frequency already used by another activity of the same type on the same object is rejected as a duplicate.

Remove or disable activities

  • For an activity that you added yourself, select Delete and confirm with Delete this custom activity?.
  • An activity created by a compliance rule cannot be deleted. If it has a frequency override, select Restore rule frequency. Otherwise, switch off Activity enabled.

A disabled activity remains in the list, appears greyed out, and generates no jobs. Deleting an activity that is follow-up work for a case also removes it from that case.

Create reusable visit templates

Visit templates group activities that can be scheduled together.

  1. Go to Organisation Settings > Visit Templates.
  2. Select the required scope: Organisation, Clients or Locations.
  3. For an organisation-wide template, select Organisation and then New Visit Template. Enter a Template Name, optionally add a Description, and leave Assign to Client (Optional) set to Organisation-wide (no client).
  4. For a client template, select Clients, choose the client, select New Visit Template, and leave Assign to Client (Optional) set to that client.
  5. Open Activities, select the required activities, and press the tick button in the picker header to confirm.
  6. Select Create Template.

Create Template remains disabled until a Template Name and at least one activity are entered. Closing the activity picker without pressing its tick button discards the selections.

Client templates are separate from organisation templates. An activity used by an organisation template can also be used in a client template. At the same scope, an activity that is already used shows an information button. Select it to open Already in use and see the templates using that activity. The activity remains selectable.

Review templates by scope

An empty scope can also offer Copy System Visit Templates. This copies system templates and their activities. It does not check activity conflicts. A message about skipped templates refers to templates that failed to copy, not to activity conflicts.

Adjust activities when scheduling a template visit

  1. Open Scheduler and select Plan visit.
  2. Drag a template from the Planning sidebar onto the required day.
  3. Set the location, date, start and end times, and Assignees.
  4. Adjust the job counts under Jobs by Activity.
  5. Select Schedule.

The activity list from the template is fixed for that visit. You cannot remove an activity, but you can set its count to zero for that visit. An activity controlled by a rotation plan cannot be reduced below the number of points selected by that plan. A zero count does not remove the activity from future work.

Templates store their activity lists, not job counts. The next visit starts with the count calculated by the Control Schema for that date.

Schedule a single activity

  1. Open Scheduler and select Plan visit.
  2. Expand Free Activities in the Planning sidebar.
  3. Drag an activity onto the required day.
  4. In New Visit, set the location, date, time range and Assignees.
  5. Select Schedule.

Schedule is enabled only after a location, date and at least one assignee are set. If times are entered, both a start and end time are required. The end time must be later than the start time and no later than 23:59. Work that continues past midnight must be planned as a second visit on the following day.

Delete a visit template

  1. Go to Organisation Settings > Visit Templates.
  2. Select View on the template card.
  3. Select the delete action in the detail panel header.
  4. Review the number of draft visits that will be deleted and select Delete Template.

All draft visits created from the template are deleted permanently. Scheduled, in-progress, completed and cancelled visits remain accessible with their jobs. The template is hidden from the templates list rather than erased.
