Enable tasks and control measures

This article explains how to add and configure activities for a structure, including flushing, temperature checks, inspections, and maintenance. It also explains how to review activity status and complete flushing and temperature jobs during a visit.

Add an activity to a structure

Note

Required role: Inspector or above

Use this procedure when the required activity is not already present in the location's automatically generated control scheme.

  1. Open the location and select Control Schema.
  2. Select Add activity.
  3. Choose an Activity type.
  4. Under Applies to, select Select locations or assets.
  5. In Choose location, select the structure. You can also select areas, systems, or assets, then confirm with the tick button.
  6. Select the required Frequency.
  7. Select Save.

The activity receives its own entry for each selected structure, area, system, or asset. The selected frequency fills the 12-month job estimate. The saved activity starts with the status To do and is ready for scheduling.

When Assets is enabled under Selection level, selecting a whole building or floor also selects every asset below it. The selected count shows the total number of activities that will be added.

Change how often an activity runs

Required role: Inspector or above

  1. Open the location's Control Schema.
  2. Select the activity type and then select the activity.
  3. Choose a new Frequency.
  4. Select Save.

The frequency picker includes options from Two times per day through Every week, Monthly, and Yearly to 10 yearly. Frequencies are selected from the picker and cannot be entered as free text.

If you change the frequency of an activity created by a rule, the activity becomes custom and keeps your setting. Select Restore rule frequency to return it to the rule's frequency.

Caution

A frequency that is less often than the required rule frequency can be saved. BriqSafe displays a warning, but does not block the change. The activity can therefore remain below the required minimum.

Review activities for a structure

  1. Open the location and select Control Schema.
  2. Group activity types by Activity category or Activity type.
  3. Sort the list by Frequency, Activity name, or Status.
  4. Select an activity type to view its activities and their statuses.

Each activity shows a completed-to-total count and can have one of these statuses: To do, In progress, Done, Overdue, Skipped, or Closed. Use Load more to view additional activities.

Use the filter drawer to narrow activity types by Frequency, Status, and Source. Only Source filters the activities themselves.

Note

An activity with Activity enabled switched off remains visible but is greyed out and has no status badge. It generates no jobs.

Complete a flushing timer job

Note

Required role: Engineer

  1. Open the flushing timer job during the visit.
  2. Check the displayed Prescribed flush duration.
  3. Open the outlet and select the flush-timer start button.
  4. Wait until the timer shows Flush complete.
  5. Close the outlet and select Complete Job.

Complete Job remains disabled while the countdown runs. The timer continues if you leave the form to work on another job, and the server rejects an early completion.

Complete a temperature measurement job

Required role: Engineer

  1. Open the temperature job and select the Actions tab.
  2. Select Connect to pair a Bluetooth thermometer, or select Enter manually when manual entry is available.
  3. When connected, select Start Temperature Measurement.
  4. Wait for the reading to stop according to the activity's stop conditions.
  5. Select Done.
  6. Repeat the measurement for each outstanding parameter.
  7. Add an evidence photo if requested.
  8. Select Complete Job.

If no stop conditions are configured, the reading stops when it is steady for ten seconds or after two minutes, whichever comes first. If the thermometer disconnects during a measurement, the readings for that parameter are discarded and must be recorded again.

The form does not show a pass or fail result. Readings are checked when they are submitted. Online, an out-of-range reading can show Job completed. A case was created for review. or Job completed. A case is already open for this issue. Offline readings are queued and show Job completed. Will sync when connected.; the rule check occurs after synchronisation.

Understand how activities are created

Activities are normally created automatically when structures, areas, systems, and assets are added or changed. The rules engine evaluates the configured information and adds the resulting activities to Control Schema. There is no separate generate button.

After a bulk change, generation runs in batches. Reload Control Schema before deciding that an activity was not created.

When an added activity does not match any structure, area, system, or asset, no jobs are generated. A rare frequency can also show a zero 12-month estimate because the estimate is a yearly average rounded to whole jobs. The first job for a newly added activity is created at the next visit that includes it.
