Generate a report and finish an assessment

This article explains how to prepare a risk assessment, generate its PDF report, finish the assessment, and download the report.

Before You Get Started

  • Complete all other assessment sections before opening Risk Conclusion.
  • Write and save the Executive Summary before finishing the assessment. The summary becomes read-only after the assessment is finished.
  • Generate or regenerate the report before finishing. The report form and Regenerate option are hidden from Risk Conclusion after completion.

Generate a report

Note

Required role: Engineer or above for report generation.

Generate the report from the organisation-wide document library. Reports are created as PDFs and processed in the background.

  1. Open Documents.
  2. Select Generate Report. On a small screen, select Report in the floating toolbar.
  3. Choose a Report Type.
  4. Select the required Location and assessment or other source for the report type.
  5. For report types that use presets, select a Report Preset. The form starts with Default configuration.
  6. Select Generate Report. On a narrow screen, select Generate.

The report entry is added to Documents immediately. Its status changes from pending to processing, then to completed or failed. No manual upload is needed.

Risk assessment reports

  • For PPCL, PSL, and PSA plans, select the risk assessment.
  • For Technical Recommendations, select the risk assessment and, if required, a Scope. The scope starts at Full scope.
  • PPCL and PSL reports also offer the Libro de Registro and Incidencias switches.

Other report types

  • For a Job Report, select a Visit. It includes jobs with status Completed and Skipped, and supports up to 500 such jobs.
  • For a Lab Results report, select the Location, then a completed Lab results entry job. Only qualifying jobs linked to a parent sample-taking job are listed.
  • For a Location Logbook, select the Location and complete Period, Scope, Sections, References, Report language, and People. Select a Report signatory other than yourself and tick I confirm the signatory has authorised this report.

Note: A Location Logbook period cannot exceed one calendar year or end in the future. The confirmation is cleared when the form is closed. If generation fails, the entry remains in Documents with a Failed status and no file to download. Use Retry generation on the report card.

Write the executive summary

Note

Required role: Inspector or above with assessment-edit access.

  1. Open the risk assessment.
  2. Open Risk Conclusion.
  3. Find Executive Summary, or the conclusion field named by the control regime.
  4. Enter the narrative, or select Generate to create a draft from the assessment data.
  5. Review and correct the text, then select Save. Select Cancel to restore the last saved text.

If assessment data changes later, the summary is marked Obsolete. Regenerate or rewrite it before reporting. A generated summary is a draft and must be reviewed.

Finish the assessment

Note

Required role: Inspector or above.

Finish the assessment only after all sections are complete and the conclusion is ready.

  1. Open the risk assessment.
  2. Open Risk Conclusion.
  3. In the footer, select Finish assessment.
  4. Read the warning in the Finish risk assessment? dialog.
  5. Select Finish assessment to confirm.

The assessment is marked complete, every section is marked done, and the conclusion scores are frozen. It is removed from the default active list. This action cannot be undone, and there is no reopen option.

If the assessment belongs to a visit, finishing it completes the related job. If no other work on the visit is open, the visit may be closed for review. Do not manually sign off the visit first: sign-off skips every open job, including the assessment work.

Download the report

Note

Reports can be downloaded by users with report-view rights.

  1. Open the risk assessment and select Risk Conclusion, or open Documents.
  2. In Risk Conclusion, wait until the report shows Ready.
  3. Select Download to save the PDF.

The Risk Conclusion section shows only the latest report. Earlier versions remain in Documents. A report that is still processing or has failed cannot be downloaded. After finishing the assessment, generate a new report from the organisation-wide Documents page if needed.
