Location dashboard overview

This article explains how to view and manage documents related to a location using the location dashboard and the organisation's Documents library in BriqSafe. It is intended for users who need to access files, reports, and certificates associated with a specific site.

Accessing the Location Dashboard

The location dashboard provides a central place to find and manage everything about a single location after it has been created.

  1. Open the location you want to review from the Locations tab.
  2. This opens the location admin panel with a fixed set of tabs including Overview, Structures, Cases, Visits, Jobs, Control Schema, Recommendations, Users, Rotation plan, IoT Devices, Logbook, and Timeline.
  3. Each tab provides access to a management view for the location; however, document files are not accessed directly from here since the library is organisation-wide.

Note that there are no separate tabs for Systems, Assets, or Billing within the location dashboard. Systems and assets are managed under Structures and its sub-views, while billing is handled at the organisation level.

All documents, including compliance reports, certificates, photos, and generated PDF reports related to any location, are stored in the organisation-wide Documents library. The document library is not filtered by location but organised by folders where documents have been placed.

  1. From the main sidebar, select Documents to open the organisation's shared document library.
  2. Navigate through the folder and file grid using the breadcrumb trail to find files related to your location. You can open folders to drill down or click an individual file to view details.
  3. Use filters on the library to narrow the view by Type (all, folders, or files), Sort By (name, type, date created, date modified, size), and Order (ascending or descending).
  4. Click a file entry to open its details pane, where you can read its description and tags, if set.

Since the Documents library is organisation-wide, there is no direct filter by location. Files must be found by navigating the folder structure where they were stored.

Downloading and Managing Documents

You can download, move, rename, or delete document files or folders within the Documents library.

Downloading a Document

  1. Open the desired document entry from the Documents library.
  2. Select Download to receive a timed download link that allows you to save a local copy.

Note: The download link expires after one hour. If the link stops working, reopen the document entry and download again to get a fresh link.

Moving a Document or Folder

  1. On the document or folder entry, choose Move.
  2. In the Move Entry dialog, verify the Current Location.
  3. Type the destination path where you want to move the entry (for example, /documents/reports).
  4. Optionally, set a new name for the entry.
  5. Choose Move to complete the relocation.

Note that only one entry can be moved at a time, and the destination is path-typed rather than chosen from a folder tree. Moving a folder into one of its own subfolders is rejected.

Renaming or Editing a Document or Folder

  1. Open the document or folder's details pane.
  2. Edit the Name, Description, or Tags fields as needed.
  3. Choose Save Changes to update the entry.

File extensions remain unchanged automatically when renaming files.

Deleting a Document or Folder

  1. Select the document or folder entry.
  2. Choose Delete and confirm in the dialog.

Be cautious when deleting folders, as this removes all files and subfolders inside it. The confirmation dialog shows only the entry’s name, so check contents before deleting.

Viewing and Accessing Generated Reports

Reports generated for locations (such as compliance or lab results reports) are automatically saved as PDF files in the Documents library.

  1. Open Documents and select Generate Report.
  2. Choose the report type, location, and any required inputs, then generate the report.
  3. The report is processed in the background. While generating, the document entry shows a Processing or Generating... state.
  4. Once complete, the finished PDF appears in the Documents library automatically with no manual upload required.

Note: Generation is asynchronous and only Engineers or higher can generate reports, while Viewers can open and download existing reports. Generated reports are PDF-only.

Accessing Documents on Mobile

Mobile app users can access the same organisation-wide Document library when viewing a location or structure.

  1. In the mobile app, open Documents from a Location's or Structure's screen.
  2. This opens the organisation's shared document library in an authenticated in-app view.
  3. You can browse, open, and download documents similarly to the web interface.

The mobile Documents view requires an active session and network connection as it renders the web library in-app.
