Manage subscriptions and billing

Use the Billing area to review subscription information, choose whether Structures are billed by organisation or by client, and check subscription counts and tier breakdowns. Admins and the Owner can view billing information. Only the Owner can change billing settings.

Open the billing area

  1. In the Organisation sidebar, select Billing.
  2. Use the Overview, Subscriptions, Structures, Invoices or Settings tab.

Billing is charged per Structure. Managers, Engineers, Inspectors and Viewers do not have billing access. The Billing entry is hidden for these roles, and opening a saved billing link redirects them to My BriqSafe.

Choose organisation or per-client billing

Note

Only the Owner can confirm a change to Billing Aggregation. Other roles that can open Billing can select an option and review the preview, but Confirm remains disabled.

Use Billing Aggregation to choose how Structures are grouped for invoicing.

  1. Open Billing > Settings > Billing Aggregation.
  2. Select Organisation to bill all Structures together on one invoice, or select Per Client to group Structures by client on separate invoices.
  3. In the Switch to organisation billing? or Switch to per-client billing? dialog, review the affected client subscriptions and any discounts that will not carry over.
  4. Wait for the list to load fully, then select Confirm.

The switch takes effect as soon as you confirm it. Structures move to the new subscription or subscriptions immediately rather than at the next billing cycle.

  • When switching to Organisation, a client subscription that becomes empty is credited pro rata and stops renewing at the end of its paid term. Its discounts do not carry over.
  • In Per Client mode, Structures without a linked client are billed under the Default subscription.

Review subscriptions and structure counts

  1. Open Billing > Subscriptions.
  2. Review Total Subscriptions and Total Structures.
  3. For each subscription, review its name, type, status badge, Structure Count, Billing Period and Next Billing.
  4. Expand Structure Breakdown to see the subscription's Structures grouped by billing tier.

Structure Breakdown appears only when the subscription contains at least one Structure. In per-client billing, Default contains Structures with no client and every client's free-tier Structures. As a result, a client's subscription card can show fewer Structures than that client owns.

Select View Invoices on a subscription card to open the Invoices tab filtered to that client or to Default. This filter applies only in per-client billing. In other cases, or if the client or subscription no longer exists, all invoices are shown.

View the billing tier breakdown by Structure

  1. Open Billing > Structures.
  2. Review the Structure Billing Tiers cards, grouped by client.
  3. Expand a client card to review its Structure count and the table columns Structure, Site, Includes, Assets and Billing Tier.

Includes and Assets appear only when the organisation's tier catalogue has loaded. Otherwise, the table shows Structure, Site and Billing Tier. Client-less Structures appear under No client (billed to the organisation).

Review billing information

  1. Open Billing > Overview.
  2. Review Total Structures, Estimated Monthly Cost, Next Billing Date, Billing Mode and Usage History.

In per-client billing, the Overview also includes a Subscriptions card and a client filter. Usage History covers 12 months but remains empty until after the first billing cycle. Months with pending or voided invoices may show partial data.

If no renewal estimate is available, Estimated Monthly Cost shows a dash and Next Billing Date shows No billing date scheduled. This can occur when billing is not set up, no subscription is linked, or the billing provider's renewal estimate failed.
