Use the Site recommendations page to view, filter, review, annotate, approve, dismiss, close, or delete technical recommendations across a Location.
View and filter recommendations
- Open Locations, select the location, and open the Recommendations tab.
- On the Site recommendations page, select a row to open its details beside the list. On a narrow screen, the details open in a slide-over.
- To narrow the list, open Filters, select a Status, Severity, or Structure, and select Apply Filters.
- To restore the default list, open Filters and select Clear All.
The page opens with Status set to Approved. The status filter also includes Needs Approval. Recommendations are shown 20 at a time. Filters remain in the page address, so you can share a filtered view.
- Severity options are Low, Medium, High, and Critical.
- The Structure filter narrows recommendations raised directly on a Structure. Recommendations raised on a system, area, or asset remain visible, and the page count still reflects the unfiltered total.
- Closed and dismissed recommendations are not listed on this page. To trace a finished recommendation, open the recommendation history on its asset.
- If the list shows No approved recommendations yet, change Status to Needs Approval to look for drafts.
- A shared link with an unsupported status returns to the default Approved view.
Review, approve, or dismiss a draft
Review drafts from the location list when you need to decide whether they should become active work.
- Open Locations, select the location, and open Recommendations.
- Under Filters, set Status to Needs Approval, then select Apply Filters.
- Select a draft to open the Review recommendation panel.
- Review or edit Suggested activities, Problem, Solution, and Priority. Review supporting evidence under Attachments.
- Select Update & review to save the edits and approve the recommendation.
Only Problem and Solution are required. Suggested activities do not block approval. If nothing needs changing, select Update & review without editing. The recommendation is then approved as it stands. After approval, the action is shown as Update so later corrections can be saved.
To discard a draft, select Dismiss, enter a reason of at least 10 characters, and confirm. The confirmation remains disabled for shorter reasons and shows Reason must be at least 10 characters.
On an asset's Recommendations tab, select Review on the draft card to open the same panel. Approving and dismissing are web-only. On mobile, recommendations can be read and added, but not reviewed.
Add notes and evidence
- Open the recommendation from the site list or the relevant asset's Recommendations tab.
- Update Problem, Solution, or Priority in the recommendation panel.
- Under Attachments, upload JPEG, PNG, WebP, or PDF evidence up to 10 MB.
- Select Update & review for a draft, or Update for an approved recommendation, to save the changes.
Attachments in HEIC format, recordings, office documents, and files larger than 10 MB are refused before upload. Convert them before uploading.
Schedule approved work
Approval does not schedule the work. Suggested activities on an approved recommendation are added to the Control Schema for its asset, system, or area at the frequency set on the activity.
- Open Scheduler from the sidebar.
- Select To plan.
- Select the follow-up card marked One-time.
- In New Visit, check the prefilled Location and Date. Adjust From and Until if needed.
- Set Needs review, confirm the required Assignees, and select Schedule.
Only recommendations raised against an asset, system, or area reach the Control Schema and scheduling. Recommendations scoped to a Structure or the whole Location keep their suggested activities but do not appear in the planner. Scheduling requires scheduling access.
Close a recommendation
Close an approved recommendation after verifying that its work is complete.
- Open the asset's Recommendations tab and select the approved recommendation.
- Select Complete in the detail footer.
- In the Close recommendation? dialog, enter optional Verification notes.
- Select Close recommendation. If no completed work is linked, review the warning and select Close anyway after verifying the work.
When the work was completed through the platform, open it under Completed since last assessment and select Close completion to open the same dialog. Verification notes can contain up to 500 characters.
Closing cannot be undone from this view. Close anyway forces the closure and records it as a forced close in the audit trail. Without recommendation-edit access, Complete and Close completion are not available.
Delete a recommendation
- Open the recommendation and select Delete at the bottom of its detail panel, or open the recommendation from an asset, area, or system's Recommendations tab and select More options (⋯), then Delete.
- Confirm Delete in the Delete Recommendation dialog.
Draft recommendations show Dismiss instead of Delete in the detail panel. Deletion is a soft delete: the record remains behind the scenes and the deletion is recorded in the audit trail. If deletion fails, the dialog stays open and shows Could not delete. Try again.
Understand draft recommendations
During a risk assessment, a reading that crosses a control threshold can raise a draft automatically. On an asset's Recommendations tab, these drafts appear under Drafts (auto-generated) with an Auto-generated pill. Open a draft to review its Problem, Solution, Priority, and the values listed in Triggered by.
- An auto-generated draft is only a proposal until it is approved or dismissed.
- The Auto-generated pill shows that a rule is linked to the recommendation. It does not show who created it or whether it is approved.
- Saving the same failing reading does not create duplicate recommendations while the existing recommendation for that rule and entity is draft, dismissed, or approved and still open.
- A corrected reading can withdraw an unapproved draft when the rule no longer matches. Approved recommendations are not withdrawn; they remain open until closed.
