Use the responsibilities page to assign a person or a company contact to each responsibility role for a structure, or replace the current holder when responsibility changes.

Before You Get Started
- The structure must have a control regime. Without one, the responsibilities page shows an empty state instead of role slots.
- Each role slot accepts one holder: either a person or a company that names a contact.
Assign or replace a responsibility holder
- Open Structures.
- Open the structure's actions menu and select View Responsibilities.
- Open Responsible persons by role.
- Select a holder for each available role slot.
- If the slot already has a holder, confirm Replace responsible person? to displace the current holder.
Removing a holder takes effect immediately and does not require confirmation.
Check which roles need an assignment
The roles shown depend on the structure's control regime and declared equipment.
- A role for equipment the structure does not declare shows Not applicable and is excluded from the required count.
- A role that already has an assignment remains listed after it stops applying. You can remove the outdated assignment.
Add a new contact while assigning a role in the mobile app
When the new holder is not already in the contacts list, you can create the contact and assign it from the mobile risk assessment.
- Open the location's risk assessment in the mobile app.
- Open the Location stage and then the Responsibilities tab.
- In the Responsible persons by role card, tap a role marked No contact assigned.
- In the picker, select Person and then Create new contact.
- Enter the contact's Name, Email, Phone, and Contact Type. You can expand Certificate — optional to attach certificates when available.
- Select Save to create the contact and assign it to the role.
Important access and connection details
- Creating a contact in the mobile workflow requires an internet connection. When offline, Create new contact is not available.
- The mobile workflow requires assessment-edit access and responsibility-assignment access. Without responsibility-assignment access, the role cannot be tapped. Without assessment-edit access, the picker does not offer Create new contact.
- Phone may be left empty in this workflow. If you enter a number, use international format, such as +31 6 12345678.
- If the contact is created but the assignment fails, the message says: Contact created, but could not be assigned. Select it to retry. Select the created contact from the picker instead of creating it again.
