Task and building configuration

This article explains how to configure locations, structures, rooms, systems, access, and compliance activities in BriqSafe. It is intended for users setting up a building or adjusting how the app works across locations.

Before You Get Started

  • Create a location before adding structures, floors, rooms, assets, or systems.
  • Create a structure before adding areas. Areas belong to a floor within a structure.
  • Systems are created under a structure. There is no location-level systems section.

Create a location

Register each physical facility so activities can be planned for it.

  1. Open Locations and select Add New Location.
  2. Enter an optional Location Name and Location Image. If you leave the name blank, the confirmed address becomes the location name.
  3. Select Search Address and choose an address suggestion, or select Enter Manually and enter the Street address, City, and Postcode.
  4. Select Use This Address and submit the form.

The location's jurisdiction comes from your organisation, not from the address. An address outside your organisation's jurisdiction is rejected when you save.

Manual address entry does not send coordinates. BriqSafe looks up the pin once when you save and stores it only when it finds an exact building match. If the lookup is ambiguous or fails, drag the marker before submitting, or edit the coordinates later from the location's Overview tab.

Add and configure a structure

  1. Open the location and select Structures.
  2. Select Add Structure.
  3. Enter the required Structure Name. The Structure Type is preset to Building.
  4. Set the Facility Type.
  5. Enter optional details, including Building Code, the applicable cadastral reference, Height (m), Construction Year, Surface Area (m²), Number of Floors, and Description.
  6. Set Control Regime only if you need to override the automatic choice.
  7. Set Automatic Job Execution if required, then submit the form.

The Facility Type and the location's jurisdiction determine the control regime. The control regime determines which compliance activities are generated. If you manually select a control regime, it applies only to that save. If you later change the facility type without selecting a regime, automatic selection replaces your manual choice.

Add rooms and edit room details

  1. In Structures, open a structure and select a floor to open the floor plan editor.
  2. Switch the mode from View to Edit.
  3. Select Add Room.
  4. Double-click the new room, or select its detail button in the room selector.
  5. Enter the required Name, select a Room Type, and select Save Changes.
  6. Repeat these steps for other rooms, then select Save to publish the floor plan.

Rooms are not added to the product until the floor plan is saved. A room inherits its structure's facility type and control regime until you override them. You can change Area Name, Description, Occupancy, Facility Type, and Control Regime from Hierarchy view by selecting Edit on the area row.

Occupancy has two values: In Use and Vacant. The occupancy control appears on room rows, not floor rows.

A room's Room Type no longer decides its compliance requirements.

Manage floors and rooms

Reorder floors

  1. Open a structure's Floors list and select Reorder.
  2. Drag a floor to its new position.
  3. Select Done.

Every floor must have a level before it can be reordered. If a save fails, the previous order is restored.

Merge rooms

  1. Open the floor plan and switch from View to Edit.
  2. Enable multi-select using Select multiple rooms to copy or paste into — or hold Shift, or hold Shift while selecting rooms.
  3. Select two or more rooms that share walls with the group.
  4. Select Merge selected rooms into one.
  5. Select Save on the Unsaved changes bar.

The merged room keeps the identity and name of the first existing room in the floor's room order. Assets from the other rooms move into it when the plan is saved. If the selected rooms do not all share a wall, the merge is refused.

Delete a room

  1. Open the floor from the Floors list and switch from View to Edit.
  2. Double-click the room on the plan.
  3. Select Delete room, then confirm with Delete.

Deleting a room also deletes every asset in it. Move assets you want to keep before deleting the room. The action cannot be undone.

Create systems under a structure

  1. Open Structures and select a structure's Systems.
  2. Select the option to add a system.
  3. Choose the required System Type.
  4. Optionally enter System Name, Operational Status, System Code, Location Details, and Description.
  5. Save the system.

If System Name is blank, the system is named after its type. Assets from any area at the location can then be linked to the system.

A system with linked assets cannot be deleted. To delete a system, unlink its assets first. Deleted systems can be displayed with Show deleted systems and restored with Restore.

Review automatically generated activities

BriqSafe evaluates compliance and risk rules when you create or change structures, areas, assets, systems, or control regimes. The results appear in the location's Control Schema tab.

  1. Open the location and select Control Schema.
  2. Group activities by Activity category or Activity type.
  3. Sort them by Frequency, Activity name, or Status.
  4. Select an activity type to review its activities and statuses.

There is no generate button. Generation is queued and runs in batches, so reload Control Schema after a bulk change.

If no control regime resolves for a structure or area, no rule-generated activities are created. An area resolves its regime from itself, its parent areas, and then its structure. A system uses its structure's regime directly.

Add a custom activity

  1. In Control Schema, select Add activity.
  2. Choose an Activity type.
  3. Under Applies to, select Select locations or assets.
  4. Select the structures, areas, systems, or assets that should receive the activity, then confirm the selection.
  5. Choose the Frequency and select Save.

A custom activity starts with the status To do. Rule-created activities cannot be deleted. You can use Activity enabled to stop them generating jobs, or use Restore rule frequency when a frequency override should be removed.

Manage location access

  1. Open the location and select Users.
  2. Select a person's row, or select Add user to location.
  3. Open Location Permissions and select Add Location.
  4. Save the changes.

For internal users, the location list restricts access. An empty list means the user has access to all locations. For external users, the list grants access. An empty list means the user has access to no locations.

Edit, archive, or delete a location

  1. Open the location's Overview tab and start editing.
  2. Update fields such as Name, Street Address, City, Postal Code, Latitude, or Longitude.
  3. Move the map pin or enter coordinates when an address correction also requires a new map position.
  4. Select Save.

The Overview tab also contains Delete and Archive. Archiving removes the location from active use. Deleting removes it entirely. These actions require a higher role than editing location details.
