Upload compliance documents, evidence photos, certificates, and reference files to the central Documents library so colleagues can access them.
NoteRequired role: Engineer or higher
Before You Get Started
- The organisation must not be archived. Uploading is blocked while the organisation is archived.
Upload a file from Documents
Use this procedure when you are working in the organisation-wide Documents library.
- Open Documents and open the folder where the file should be stored.
- Select Upload.
- Choose the file in File. The Name field is filled from the file name, but you can edit it. Add an optional Description and comma-separated Tags.
- Optionally select a Site.
- Select Upload.
Choose where the file is stored
- Inside a Location folder, Site is hidden and the file takes that Location.
- Inside a client or organisation-level folder, leave Site empty to keep the file at organisation level, or choose a Location.
- At the top level, a file cannot remain there. With no Site, it is saved in Organization documents. With a Site, it is saved in that Location's folder.
Upload a file from a Location
Use the Location's Documents tab when the file belongs to that Location.
- Open Locations, select the Location, and open Documents.
- Select Upload.
- Choose the file in File. The Name field is filled from the file name, but you can edit it. Add an optional Description and comma-separated Tags.
- Select Upload.
Files uploaded from a Location's Documents tab are filed under that Location automatically. You are not asked to choose a Site. The file inherits the Location's access, so only people who can access that Location can see it.
Organise uploaded files
To group files before uploading, open the folder where the new folder should sit and select New Folder. Enter a Name, then optionally add a Description and comma-separated Tags. Select Create Folder. Folders created inside a Location folder inherit that Location.
Upload issues
- A Viewer does not see the Upload button. Uploading requires the report-create permission, which an Engineer or higher has.
- A duplicate file name is rejected and does not replace the existing file. Rename the file before uploading it again.
- The top level contains only folders managed by BriqSafe, including client folders, Location folders, and Organization documents. Files uploaded there are filed in one of those folders instead.
