This article explains how to review compliance-impacting events at a specific Location using the Location Logbook in BriqSafe. It also covers how to filter the log entries and export a filtered logbook as a branded PDF for regulatory submission. The guide is intended for users responsible for compliance oversight, audits, and documentation.
NoteRequired role: Engineer (for exporting logbooks to PDF). All other users with record-keeping entitlement can view the logbook.
Review the Location Logbook
You can see a chronological record of compliance-impacting events at one Location, including jobs, activities, incidents, and staff changes. These events are grouped by date and show their statuses.
- Open the desired Location in the application.
- Select the Logbook tab. The page titled Operational and compliance activities for this site appears.
- Review the list of events grouped by date headings such as Today, Yesterday, and earlier dates. Each event row displays a status like Completed, Overdue, Scheduled, or Pending along with the relevant Structure, Area, or Asset affected.
- Scroll down to load more events as needed. Note that the logbook is read-only; entries cannot be added, changed, or deleted manually.
Note: Accessing the Logbook tab requires the record-keeping entitlement, which is included in all paid tiers. On organizations not meeting this tier, an upgrade prompt appears instead of the timeline.
Filter the Logbook by Event Type and Date
To narrow the logbook entries to specific event types or review periods, use the filter controls.
- On the Logbook tab, open the Filters panel.
- Set the Start Date and End Date to define the review window.
- Choose one or more event actions to filter by. For jobs, these include Performed, Scheduled, Overdue, Not Performed, and Escalated. You may also select a Compliance Domain if desired.
- Apply the filters to redraw the event list grouped by date.
- To return to the full logbook, clear any applied filters.
Important: Filter options are organized by event category (jobs, activities, incidents, site changes) and appear only after events have loaded. Filters also determine what entries are included in any PDF export, so set filters before exporting.
Export the Logbook as a PDF
Export the (optionally filtered) logbook as a PDF to produce a downloadable, branded record suitable for regulatory submission or archiving.
NoteNote: Exporting requires the
reports:cpermission (Engineer role or higher). Users with viewer-only rights can see the export control but cannot successfully request an export.
- Set the desired filters on the Logbook tab to define the data range and event types to include.
- Open the export panel by selecting Export to PDF.
- Click Create Export to start generating the PDF.
- Monitor the export status, which moves through Pending, Processing, and finally Ready. If an export fails, it is marked Failed.
- Once the export is Ready, use the Download button to retrieve the PDF.
- Recent exports appear in a list for easy re-download.
Note: The PDF export reflects the exact filters applied at the time of export creation and does not update dynamically.
Review the Logbook on Mobile
You can read a Location’s compliance event history directly from the mobile app while on site.
- From the Structures overview toolbar in the mobile app, tap the Logbook action to open the site’s events.
- Events are grouped by date and support pull-to-refresh and infinite scrolling.
- Tap any event row to view its Event detail including status, actor, location, detailed description, changes, and notes.
- Deep links to specific events open the same detailed screen.
Important: The mobile Logbook is read-only and currently has no filter controls or seen/unseen tracking. Access also requires the record-keeping entitlement, which is verified before the screen opens.
Additional Notes on Logbook and Reporting
- The Logbook is a system-generated audit trail recording all compliance-relevant events and is not an editing interface.
- The Location admin panel provides access to the Logbook tab alongside other management views.
- For full compliance overview reports or specialized exports, use Generate Report from the Documents area, which offers a broader range of report types and asynchronous report generation.
- Reports generated via the Documents page are saved automatically to the organisation-wide Documents library.
- Reports and exported PDFs can be distributed by email to active organisation members directly from within the platform.
