Record a sample

This article explains how to set up and perform sampling jobs, including recording sample collections, chemical tests, and managing returned lab results. It is intended for engineers performing on-site activities.

Perform a Sample Collection Job

Collect a water sample and record its identifier so it enters the lab pipeline.

  1. Open the sample collection job assigned to the location.
  2. Fill in all form fields defined for this activity, including the sample bottle's identifier and the collection method.
  3. If required, attach a photo of the sample label.
  4. Tap Complete Job to record the sample and finish the job.

Note: The sample bottle identifier must be typed carefully, as there is no barcode scan for sample bottles. The in-app scanner only works for Asset and device QR codes.

Perform a Chemical Test Job

Take Measurement - Hot Tap screen allows users to input detailed hot water temperature data and comments for multiple pending measurement tasks, with an option to complete the job.

Record on-site chemical test results for each parameter configured in the job.

  1. Open the chemical test job for the water outlet.
  2. Go to the Actions tab. It lists each parameter set for this activity.
  3. For each parameter, either type the value or select from predefined options if available.
  4. If required, attach an evidence photo supporting the recorded values.
  5. Once every required parameter is completed, tap Complete Job to finish.

Note: The input method for each parameter (typed value, predefined options, or both) is set by the control scheme and cannot be changed during data entry. The Complete Job button remains disabled until all required parameters are filled.

Enter Returned Laboratory Values on a Lab-Results Entry Job

After the external laboratory returns analysed values, enter them to evaluate compliance.

  1. Open the Actions page in the web app.
  2. Locate the Lab results pending card and select it.
  3. Click Enter results on the pending item to open the lab-results entry job.
  4. On the Actions tab, enter the measured value for each parameter defined by the activity.
  5. Add any relevant Notes.
  6. Tap Complete Job to finish the entry and trigger compliance evaluation.

Important: This workflow currently runs only in the web app. The mobile app's Lab results card is a placeholder and cannot open the entry form.

The parameters vary between organisations and regimes. Ensure every parameter is entered before completing the job.

How a Completed Sampling Job Creates a Lab-Results Entry Job

When you complete a sampling job, the system automatically creates a follow-up lab-results entry job where returned laboratory values are entered.

  1. Complete the sampling job on site.
  2. The system generates a lab-results entry job at the same location and scope.
  3. This follow-up job is assigned to the location's managers with a due date about two months later.
  4. The follow-up appears on the Actions page under the Lab results pending card.

Note: If automatic creation fails, you'll see a warning to create the lab-results entry job manually.

The laboratory results are stored within jobs, not a separate lab record. Check Actions, not a lab menu, for outstanding lab results.

Generate and Download Lab-Results Reports

Produce a shareable PDF report combining the original sample job data with returned lab results.

  1. Open the completed lab-results entry job.
  2. At the bottom of the Actions tab, locate the lab-results report section.
  3. Start generating the report and wait for it to process.
  4. Choose Download to obtain the PDF.

The generated report is also saved automatically to the Documents library.

Note: The report section only appears after the entry job is completed. Generating a report requires report-creation rights; view-only roles can download existing reports but cannot generate new ones.
