Assign tasks and teams

This article explains how to assign planned jobs and follow-up actions to yourself, a colleague, or an entire team within BriqSafe. It is intended for users responsible for managing cases and scheduling work.

Assign a Case to a Team Member

Assigning a case to a team member gives that person responsibility for investigating and resolving it.

  1. Open the case.
  2. Open the actions menu.
  3. Select Assign (or Reassign if the case is already assigned).
  4. In the dialog, select a team member from the list.
  5. Confirm the assignment.

The case detail will then show the selected person under Assigned To instead of Unassigned.

Note: Only users with the Owner, Admin, or Manager role can assign or reassign cases. The assignee list includes only users who have access to the location.

Add Follow-Up Activities to a Case

After reviewing a case, you can attach follow-up activities that specify the remediation work needed.

  1. Open the case.
  2. Locate the Tasks section.
  3. Click Add task.
  4. In the dialog, select one or more activity types (each with a frequency).
  5. Optionally, tick Apply to linked open cases to copy the work to related cases.
  6. Optionally, schedule the work as a visit by setting a due date and assignee.
  7. Confirm to link the activities to the case.

Linking follow-up activities moves the case from an Open to an Active status when the first activity is added.

Note: Users without scheduling or assignment rights can still link activities but cannot schedule visits or assign the tasks. Closed cases do not accept new follow-up work.

Apply Bulk Changes to Multiple Cases

Bulk changes enable you to update status, assignee, comments, or follow-up work on many cases simultaneously.

  1. Open the Cases list.
  2. Select the rows for the cases you want to update.
  3. Open Bulk change.
  4. In the panel, choose which sections to apply: Change status (Start or Close), Assign, Add comment, or Schedule follow-up.
  5. Apply the change.
  6. Review the results summary showing which cases were applied, skipped, or failed.

Note: Bulk close and assign actions are limited to users with Owner, Admin, or Manager roles. Engineers can bulk-start, comment, and schedule follow-up but cannot close or assign cases in bulk. Cases that cannot accept the change (such as already-closed cases) are skipped and reported.

Linking cases groups those that share a root cause for coordinated work.

  1. Open the source case.
  2. Go to the Linked Cases section.
  3. Select Link Case.
  4. Pick one or more related cases at the same location to link.

The linked cases will appear in the section on both cases and can be unlinked from there.

Note: Only users with Owner, Admin, or Manager roles can link or unlink cases. When adding follow-up work, you can optionally apply it to linked open cases in one step.

Schedule and Assign Visits and Tasks

Scheduling visits groups several activity types or control scheme activities into work visits, assigned to one or more engineers.

  1. Use the Scheduler and open the To plan list.
  2. Find a visit-template occurrence or a planner recommendation card.
  3. Open the visit creation dialog by clicking a recommendation or dragging a visit template or activity onto a calendar cell.
  4. Review and optionally adjust activity types and job counts.
  5. Set the visit date and time.
  6. Assign one or more engineers or other workers.
  7. Confirm to create the visit with all jobs.

Note: Adding or removing activity types when scheduling applies only to that particular occurrence, leaving the template unchanged. Cross-client scheduling is blocked.

Reassign Visits and Tasks

You may need to reassign a visit to different workers because of illness, scheduling conflicts, or workload balancing.

  1. Open the Visits page.
  2. Select the visit to reassign.
  3. Open the actions menu and select Reassign.
  4. In the dialog, pick one or more replacement workers.
  5. Confirm by clicking Reassign.

The visit and its pending jobs move to the new worker(s).

Note: At least one worker must be selected. The system ensures the selected worker(s) have access to the visit’s location. Only visits with Scheduled or In Progress status can be reassigned. Completed or cancelled visits cannot be reassigned. Jobs already completed or in progress remain assigned to the original worker(s).

Assigning and Managing User Roles and Access

Assigning tasks often requires appropriate user roles and permissions within your organisation.

You can invite new team members or external users with specific roles and access scope through Users & Teams and update existing members’ roles and permissions as responsibilities change.

Note: Roles such as Owner, Admin, Manager, Inspector, Engineer, and Viewer define the permissions for assigning, scheduling, and managing cases and visits. Some role changes are restricted based on your own role.
