Create a vacant room or infrequently used asset

This article explains how to mark rooms or outlets as vacant or infrequently used and how to register new rooms or equipment found on-site. It is intended for engineers performing field work and managing compliance within the BriqSafe application.

Mark an Area as Vacant or In Use

Update an area's occupancy status to ensure compliance activities match actual room usage.

1. From a Structure's job list on the mobile app, tap Vacant to open the floor plan in occupancy mode.
2. Select the room you want to update.
3. Tap Mark as Vacant to mark the room as unoccupied, or tap Mark as In Use to reverse it.
4. The area's occupancy status is updated immediately.

Changing occupancy triggers the compliance engine to recalculate required activities for that area.

Note: Occupancy has only two values: In Use and Vacant. There is no separate 'under renovation' status. Marking a room as Vacant pauses its compliance activities. Remember to set the area back to In Use when it is reoccupied to avoid compliance gaps caused by paused activities being left unresolved.

Important: Occupancy is an attribute of the area, not individual assets.

Add Areas or Assets On-Site During a Visit

Register newly discovered rooms or equipment found during on-site visits or risk assessments directly from the mobile app.

1. Open the location on mobile and navigate to the structure and floor where the area or equipment was found.
2. To add a room, use the option to add an area on-site. This creates a permanent record of the room, which inherits its control regime from the parent structure.
3. To add equipment in that area, tap Add asset.
4. Select the asset type.
5. Enter the required parameters for the asset, including any name and attributes requested.
6. Link the asset to its systems if known by using the Link System option.
7. Save the asset. The rule engine will generate its control schema activities automatically.

Added areas and assets sync to the web app for consultant review.

Note: These additions are permanent changes to the building configuration, not drafts. A new area inherits its control regime directly from the parent structure. Assets added by engineers are created in a pending-approval state and must be approved by a manager or higher role before becoming active. Assets added by inspectors are auto-approved immediately.

Add an Asset to an Existing Location

Register new equipment installed in an existing room or structure via the web app.

1. From the Structures tree, select the desired structure or open the floor plan editor.

2. Choose to Add asset.

3. Select the asset type from the Asset Library by browsing categories, recent items, or by searching.

4. Place the asset onto the floor plan by tapping the desired position or dragging the selected type onto the plan.

5. Fill in the dynamic compliance parameter form, including:

   • Serial Number
   • Manufacturer
   • Model
   • Code
   • Description

7. Save the asset. The rule engine will evaluate compliance and risk rules and create activities and technical recommendations as needed.

Note: Asset creation can only be started from the Structures tree row actions or the floor plan editor, not from within an opened area.

Tip: The asset type you select determines the activities scheduled for that asset, so choose carefully.

Complete Asset Details and Assign QR Codes

Complete asset records to ensure identification and tracking.

1. Open the asset's detail panel.
2. In the General section, fill in the required Asset Number.
3. Optionally, enter or scan a QR Code value to link a physical label to the asset.
4. Set the Network Position if applicable.
5. Confirm the read-only Location.
6. Save the changes.

Note: QR codes must be unique among active assets at the same location. Assigning a new QR code replaces any previous code for that asset.
