Laboratories overview

This article explains how laboratory samples move through BriqSafe, where to enter returned values, how out-of-norm readings create Cases, and how to store certificates and generate reports.

Before You Get Started

  • The sampling Activity must be linked to a lab-results Activity.
  • A signed-in user must complete the sampling Job in BriqSafe. Sensor auto-completion and completion through an external signing link do not create the follow-up Job.

Collect a sample

  1. Open the Visit and select the outlet's card.
  2. Open the sample collection Job if it is folded.
  3. Complete all fields required by the Activity and add the required photos.
  4. Select Done on the Job card.

When the sampling Activity has a linked lab-results Activity, BriqSafe creates a lab-results entry Job automatically. The Job uses the same Location and scope, is assigned to the Location's Owners, Admins and Managers, and is due two months after the sampling Job's due date.

The sample identifier must be typed manually. The scanner reads Asset and device QR codes, not sample labels.

Find and complete a lab-results entry Job

  1. Open the web app's Actions page.
  2. Select the Lab results pending card.
  3. Select Enter results for the pending item.
  4. On the Job's Actions tab, enter a measured value for every parameter defined by the Activity and complete its other fields.
  5. Add any required information in Notes.
  6. Check every value, then select Complete Job.

Completing the Job starts the compliance evaluation. Empty lab-value fields are not checked: a blank field is not recorded, and the Job can still complete.

The fields shown depend on the Activity configured for the compliance regime. The entry task is assigned automatically to Owners, Admins and Managers. Engineers and other users only see Jobs assigned to them, so selecting Enter results can open the Location's Jobs page instead of the form when the Job is not assigned to them.

Use the web app for this task. The mobile Lab results tile is marked Soon and does not open an entry form. The Labs menu is also an experimental Coming-soon screen and is unrelated to laboratory results.

Review Cases created from lab results

Each submitted reading is checked against the norm bound to its parameter. A reading outside its norm can create a Case automatically. A parameter with no bound norm is stored but is not graded and does not create a Case or notification.

  1. Open the Location's Cases tab.
  2. Open the Case and select its Details tab.
  3. In Tasks, select Add task to add corrective and retest work.
  4. Select Plan to schedule an unplanned task into a Visit, when available.

If the Visit still needs review, Cases from graded readings wait for the review and use the reviewed values. A corrected passing value or a deleted value raises no Case. On an Asset Job, a Case from a matched risk rule is raised when the values are submitted, even if the Visit still needs review.

After completion, BriqSafe may show Job completed. A case was created for review. or Job completed. A case is already open for this issue. A plain Job completed message does not prove that no Case was raised. Check the Location's Cases tab.

Where the Location's plan does not include Assisted Escalations, the Cases tab shows an upgrade prompt instead of the list. Cases can still be raised in the background.

Store the laboratory certificate

The lab-results entry Job records values, not certificate documents. Its photo field accepts images only, so a PDF certificate cannot be attached there.

  1. Open Documents and open the target folder.
  2. Select Upload.
  3. Select the certificate file and edit Name if needed.
  4. Optionally enter a Description and comma-separated Tags.
  5. Select Upload.

A certificate uploaded from a Location's Documents tab is filed under that Location automatically. Generated lab-results reports are also filed in the Location's report folder.

Generate or download the lab-results report

Complete the lab-results entry Job before generating its report.

  1. Open the completed entry Job and select its Actions tab.
  2. In Lab Results Report, select Generate report.
  3. After processing finishes, select Download.

Generation can take a few moments. Select Regenerate for a fresh copy or Retry generation after a failure.

You can also generate the report from organisation-wide Documents:

  1. Select Generate Report.
  2. Set Report Type to the lab-results report type.
  3. Select the Location in Site.
  4. Select the completed Job in Lab results entry job.
  5. Optionally select a Report Preset, then select Generate Report.

The picker lists only completed lab-results entry Jobs linked to a parent sample-taking Job. If no Job qualifies, it shows No completed lab results jobs for this site. The Report Preset is ignored for this report type.

Users without report-creation rights can download an existing report from Documents, but cannot generate or regenerate one. A completed report can also be downloaded from the Job's Lab Results Report section when the Job is visible to the user.

Find older entry Jobs

The Lab results pending card and its list use the last 30 days by default. For an entry Job created more than 30 days ago, open Filters, select Date, and choose a longer period.

To find a completed entry Job later, open the Location's Jobs tab, select History, and set To to on or after the Job's due date. Automatically created entry Jobs are due two months after the sampling Job, so they may not appear in History until that date has passed.
