Use this procedure to finish a visit on a mobile device, add your engineer signature, and submit the visit for back-office review.
NoteRequired role: Engineer
Sign off a visit on mobile
- Finish or skip the jobs in the visit.
- On the job list, tap Close Visit.
- On the Sign Off tab, check the JOB SUMMARY counts for Completed jobs, Unable to complete, and Not completed.
- Draw your signature on the signature pad, or tick the confirmation box. Drawing a signature clears the confirmation box, and ticking the box clears the signature.
- Tap Close Visit.
- If jobs are still open, or a required counter-signature is missing, review the Sign off this visit? message and tap Sign off.
The visit becomes Completed and syncs to the web app. Signing off locks the visit on the device, so jobs can no longer be edited there.
Add a building representative's signature
If counter-signatures are enabled for your organisation, the Close Visit screen includes a Representative tab.
- Open the Representative tab.
- Enter the representative's Name and Role.
- Have the building representative or responsible person draw their signature on the signature pad.
- Return to the Sign Off tab and complete the sign-off.
If Name or Role is blank, the drawn signature is discarded. If the organisation requires a counter-signature and it is missing, sign-off can still proceed, but the visit is flagged for review. If there is no Representative tab, counter-signatures are switched off.
Add a comment
- On the Sign Off tab, find the optional COMMENT field.
- Enter observations or a summary in the Add a comment about this visit... box.
- Complete the sign-off.
The comment can contain up to 2000 characters. If no job was completed, the visit is recorded as Skipped and the comment becomes the recorded skip reason.
Sign off with unfinished jobs
You do not need to finish every job before signing off. Jobs left open are skipped automatically and recorded for the back office.
- Check the JOB SUMMARY on the Sign Off tab.
- Draw your signature or tick the confirmation box.
- Tap Close Visit.
- Review the pending jobs in the Sign off this visit? confirmation. Up to six job names are shown, followed by a count of any additional jobs.
- Tap Sign off.
Open jobs are skipped with an automatic reason. They are not completed and cannot be restored after sign-off.
Sign off a visit in the web app
- Open the Location, select the Visits tab, and select the visit.
- Choose Complete Visit.
- On the Sign Off tab, review the notice about open jobs being skipped.
- Add information in Notes (optional), if needed.
- Draw your signature on Sign here, or tick the confirmation box stating that all jobs were completed or skipped with valid reasons and the information is accurate.
- If counter-signatures are enabled, open the Representative tab and enter the representative's Name, Role, and Signature.
- Choose Complete Visit in the footer.
- If prompted by Sign off this visit?, review what will be skipped or flagged and choose Sign off.
Your signature, any representative signature, and your notes are stored with the visit. If no job was completed, the visit is recorded as Skipped; no signature is kept and the visit does not go to review.
Troubleshooting sign-off
- Close Visit is disabled until you draw a visible signature or tick the confirmation box. Clicking the signature pad without drawing does not capture a signature.
- If the visit was opened without selecting a visit at a location with several active visits, the first visit may be selected. Check the visit before signing off.
- A signature image over 5 MB is rejected in the web app, and the visit is not completed.
- In the web app, Engineers can sign off only visits assigned to them. Managers or higher can sign off visits assigned to other workers.
- A first visit with no jobs cannot be signed off. Complete Visit remains disabled until activities are added or the visit is cancelled.
