Use the planner calendar

Use the planner calendar to view scheduled visits, find work that still needs planning, and update visit dates, times, assignees, and review settings across Locations.

View scheduled visits

  1. Open Scheduler.
  2. Use Week, Month, Day, or Agenda to change the calendar view.
  3. In Week view, use the grouping option to organise rows by Location or Engineer.

Week view also shows weekly hours and an Unassigned row. Visit cards use colours for their status. A red indicator identifies a past-due visit with unfinished jobs, and amber identifies a completed visit with skipped or missed jobs. In Agenda view, an overdue visit also has a red edge stripe.

The planner opens in the view you last used, with Week as the default view. There is no year view. The row-grouping option is not available in Month view.

View work that still needs planning

  1. In Scheduler, select To plan.
  2. Review the recommendation cards shown on the dates proposed by the planner.
  3. Select a recommendation card to open New Visit.

The form is pre-filled with the date, Location, activity types, suggested times, and assignee. Adjust the details and select Schedule. Select To plan again to hide the recommendation cards.

The planner recalculates what is due for the visible date range from each activity's frequency. It does not use a queue. A scheduled visit can remove a recommendation when it covers the activity for that frequency period. A cancelled visit leaves the activities due, while a skipped visit does not show the same work again automatically for that visit template or set of activities.

In Week view, you can select several Locations. Switching to Day, Month, or Agenda keeps only the first selected Location, so those views show one Location's work.

Schedule a visit from the planning panel

  1. Open Scheduler and select Plan visit.
  2. In the Planning sidebar, drag a visit template or an activity from Free Activities onto the required day.
  3. In New Visit, set the Location, Date, and start and end times.
  4. Select at least one person under Assignees.
  5. Select Schedule.

When scheduling from a template, adjust the job totals under Jobs by Activity. A template's activity list cannot be removed for that occurrence, but an activity can be reduced to zero jobs unless a rotation plan sets a higher minimum.

Needs review is enabled by default. Leave it enabled to send the completed visit for review after submission, or switch it off when review is not required. The setting is also shown as Requires review after completion.

Schedule remains unavailable until a Location, date, and at least one assignee are set. Either enter both a start and end time or leave both empty. The visit cannot be scheduled on a non-working day or while the job estimate is loading or has failed.

Edit a visit from the calendar

  1. In Scheduler, select a visit card.
  2. Change the date, times, Assignees, or Requires review after completion.
  3. Select Save.

If the new date is in a different week block, confirm the This move shifts the schedule message by selecting Shift the schedule. A date that pushes jobs outside their completion window is refused.

Remove or cancel a visit

  1. Select the visit card in Scheduler.
  2. Select Remove.

Remove deletes a draft visit and cancels a scheduled visit. Cancelling from the planner uses a fixed reason. To enter a specific cancellation reason, open the visit from Visits and select Cancel Visit.

Reschedule, skip, or reassign a visit

  1. Open Visits and select the visit.
  2. Use Reschedule to choose a new date and time, or Full day.
  3. Use Skip Visit to enter a reason and optionally add photo evidence.
  4. Use Reassign to select different workers, then confirm the change.

A past date is refused, and a move that places jobs outside their completion window is blocked. A move that shifts the schedule requires confirmation because it changes later jobs for the same activity and frequency. At least one worker must remain assigned when reassigning a visit.
