This article explains how to view and understand the control scheme for a structure within a location. It guides users through reviewing all compliance activities, their statuses, frequencies, and the personnel assigned, helping to audit and manage the structure's compliance coverage.
NoteRequired role: Viewer
Access the Control Scheme for a Structure
Use the control scheme tab to review all compliance activities generated for a structure’s assets, systems, and areas.
- Open the location where the structure is defined.
- Go to Structures.
- Locate the desired structure card and open its actions menu.
- Select Control Schema.
- Review the list of compliance activity types generated by the rules engine for that structure.
The activities displayed are generated automatically during setup and any changes made to structures, areas, assets, systems, or control regimes. There is no manual generate button. If you have made bulk changes, reload the tab before concluding that no activities were generated.
Note: If a structure matches no control regime for your location’s jurisdiction and there is no active default regime, the tab will show No activity types found.
Review Compliance Activities and Their Details
The Control Schema tab lists each activity type grouped by either Activity category or Activity type. You can sort and filter the list as follows:
- Sort by Frequency, Activity name, or Status.
- Filter activity types by Frequency, Status, and Source using the filter drawer. Note that Source is the only filter that narrows the list of individual activities.
Each activity type shows a completed/total count and a badge indicating whether it is Mandatory, Custom, or Mixed.
- Select an activity type to see its individual activities.
- Each activity shows its status badge: To do, In progress, Done, Overdue, Skipped, or Closed.
- Use Load more to page through additional activities if present.
A switched-off activity (using the Activity enabled toggle) remains visible but is greyed out and lacks a status badge; it generates no jobs.
Understand How the Control Scheme Is Maintained
The control scheme is generated automatically by a rules engine as you build and modify the location and its components:
- Adding or deleting structures or areas, or changing their control regime, triggers a reevaluation of compliance rules, updating mandatory activities accordingly.
- Creating, moving, editing, or deleting assets or systems merges adjusted activities.
- Approving technical recommendations merges suggested activities on relevant entities.
These updates happen silently without notifications, so always refresh the control scheme tab after making changes to the location’s configuration.
View Assigned Responsible Personnel
To see who is responsible for compliance tasks and regulatory roles for a structure, follow these steps:
- Navigate to the structure’s actions menu in the Structures tab.
- Select View Responsibilities.
- Under Responsible Persons, view the activity-type categories and the people assigned as Responsible contact and Engineer(s).
- Expand a category to review per-activity-type overrides.
- Under Responsible persons by role, see who holds each regulatory responsibility required by the control regime.
Editing responsibilities requires the Manager role.
Modify Compliance Activities When Needed
You can add, adjust, or remove activities to tailor the control scheme to your requirements.
Add a Custom Activity
- On the location’s Control Schema tab, select Add activity.
- Choose an Activity type and specify its scope by ticking applicable structures, areas, systems, or assets.
- Set the Frequency; this field estimates job recurrence over 12 months.
- Save the activity; it starts with the status To do.
Change an Activity’s Frequency
- On the Control Schema tab, select the activity type.
- Open the specific activity you want to edit.
- Choose a new Frequency from the fixed picker (e.g., every week, monthly, yearly, up to ten yearly).
- Save your changes. If the activity was originally rule-created, changing frequency sets it to custom.
Note: Frequencies less frequent than the compliance rule allow saving but may fail to meet legal minimums. Duplicate frequencies on the same object are rejected.
Remove or Restore Activities
- Open the activity from the Control Schema tab.
- If the activity was manually added, you can delete it by confirming Delete this custom activity?.
- For rule-generated activities, deletion is not possible; if a frequency override exists, use Restore rule frequency to revert.
- To silence an activity, switch off Activity enabled. This leaves it greyed out and inactive but visible in the list.
Deleting an activity connected to follow-up work on a case removes it from that case as well.
