What is the control schema?

This article explains what the control schema is and how asset types, systems, and activity frequencies drive task generation within a location. It is intended for users who manage, review, or schedule compliance activities in BriqSafe.

What Is the Control Schema?

The control schema is an automatically generated, flat list of all compliance activities required for a given location. It includes activities scoped to structures, areas, systems, assets, or the entire location. The schema provides an overview of each activity’s name, completion progress, current status, and frequency.

The control schema drives the scheduling and execution of compliance tasks to maintain up-to-date monitoring based on the configured assets, systems, and areas.

How the Control Schema Is Generated

The control schema does not need a manual generation step. Instead, as you add assets, systems, and areas to the location, the rule engine evaluates the applicable compliance and risk rules and creates the relevant activities incrementally.

1. When you add an asset, system, or area, its control regime is assigned automatically based on the location and structure parameters.
2. The rules engine generates the mandatory compliance activities aligned with the asset type and linked system(s).
3. Any changes in parameters, such as occupancy status or risk assessment outcomes, automatically update the control schema by adding, removing, or re-frequencying activities as needed.

Role of Asset Types, Systems, and Activity Frequencies

Asset Types

When creating an asset, selecting the correct asset type is essential because it determines which compliance activities will be generated for that asset. The asset’s dynamic compliance parameters must be filled to trigger accurate activity generation.

Systems

Systems represent the building systems—such as water systems—that assets can be linked to. During asset setup, linking an asset to one or more systems at the same location is crucial because the linked systems define the set of compliance activities the rule engine assigns.

1. Open the asset’s Linked Systems section.
2. Select Link system and choose one or more systems under the same location.
3. Save the link to trigger regeneration of the control schema activities for that asset.

Assets can link to multiple systems, and systems belong under structures within the location.

Activity Frequencies

Each compliance activity in the control schema has a frequency that controls how often the task recurs, such as weekly, monthly, or yearly. Frequencies default based on the compliance rules but can be manually adjusted if needed.

1. Open the location’s Control Schema tab.
2. Select the activity to change.
3. Choose a new frequency from the picker.

Updating a frequency immediately affects scheduling by regrouping the activity’s future visits accordingly. Note that there is currently no enforcement to prevent setting frequencies below regulatory minimums.

Reviewing and Managing the Control Schema

The control schema is available under the location’s Control Schema tab as a flat list. Activities are sorted by frequency, and each shows:

• Activity name
• Progress (completed jobs out of total)
• Status badge (e.g., To do, In progress, Done, Overdue, Skipped)
• Frequency

Filters for status and activity type help to narrow the list. The list is also available natively on mobile from the Structures and Asset control-schema screens.

Note: The control schema does not support drill-down by floor plan or nested location hierarchy. Each activity is scoped to a single object and should be filtered rather than navigated in a tree.

Adding and Deleting Activities

You can add custom compliance activities when requirements fall outside the auto-generated scheme:

1. On the location’s Control Schema tab, click Add activity.
2. Choose the object to attach the activity to (structure, area, system, asset, or entire location).
3. Select an Activity type valid for the location’s control regime and pick a Frequency.
4. Review the job estimate and save. The new activity appears in To do status, ready for scheduling.

Custom activities can be deleted; the option is visible in their edit panel. However, mandatory activities generated by the rules engine cannot be deleted manually and have a read-only edit panel.

Scheduling Activities Based on the Control Schema

The control schema forms the basis for scheduling visits and tasks:

• Recurring activities automatically queue their next occurrence after a visit is scheduled.
• Standalone recurring activities appear in the Scheduler under the To plan filter for manual scheduling.
• Visit templates group multiple activity types for scheduling together.
• Technical recommendations created by risk rules become one-time activities that can be scheduled separately.

Visit scheduling requires Manager, Admin, or Owner permission. Only assigned engineers can receive scheduled tasks.
