This article explains how to use the installation description feature in the BriqSafe application, guiding you through setting up and managing building data and structures within a location.

Creating and Enriching a Location
Start by creating a location with an address. For supported countries like the Netherlands and Spain, building data can be filled in automatically from the national building registry.
- Go to Locations and select Add New Location.
- Use Search Address to find the address or Enter Manually if needed.
- Select the address and click Use This Address, then submit.
- If your location is in the Netherlands or Spain and covered by the registry, a structure will be pre-created with details such as building type, construction year, height, surface area, and floor count.
- Review these values on the location’s Overview tab and correct them as they remain editable.
- If no building data appeared, look for the Building Data Unavailable banner in the Overview tab and use the Retry action.
Note that registry coverage is not complete. For regions not covered, such as some autonomous areas, you must build the structures manually.
Adding Structures to a Location
Define the buildings that make up your location to organise floors, rooms, and assets underneath.
- Open the location and go to the Structures tab.
- Click Add Structure.
- Provide a Structure Name and select a Structure Type (defaulted to Building).
- Set optional fields like Facility Type and Control Regime, only to override automatic settings.
- Optionally enter identifiers such as Building Code, cadastral references (BAG Identifier (Pand ID) in the Netherlands or Catastro Reference in Spain), dimensions (Height (m), Surface Area (m²), Number of Floors), construction year, and a description.
- Enable Automatic Job Execution if needed, then submit.
Be careful selecting the correct Facility Type as it determines the compliance activities generated. Changing the facility type later without adjusting the control regime causes automatic replacement of your manual settings.
Adding Floors and Areas within a Structure
Build out a floor plan by adding floors and rooms to match the physical building.
- Within the Structures tab, select a structure.
- Open a floor in the floor plan editor. If no floors exist, add a floor first.
- Click Add Room, draw its shape, and enter the Name and Room Type.
- Choose Create Room and repeat for each room.
- Once finished, click Save to publish the floor plan.
- To edit area details later, switch to the Hierarchy view, select Edit on the area row, and adjust fields such as Area Name, Description, Occupancy, Facility Type, or Control Regime.
Note that areas inherit their structure’s Facility Type and Control Regime until overridden. Changing an area’s facility type will rerun regime selection, which may result in a different control regime.
Setting Area Occupancy
Indicate whether rooms are in use or vacant.
- Go to the location’s Structures tab and open the Hierarchy view.
- Select Edit on the area to open its details.
- Set Occupancy to either In Use or Vacant.
- Click Save changes.
Occupancy supports only two values, and defaults to In Use when not set explicitly.
Adding Systems and Assets
Define the building’s systems and register equipment to complete the installation description.
- Within the Structures tab, select a structure and open its Systems section.
- Click to add a new system; select a System Type (required) and optionally set a System Name, Operational Status, System Code, Location Details, and Description.
- Save the system. Note that every new structure automatically arrives with default cold and hot water systems, so check before adding more.
- To add assets, navigate the structure’s floors or areas.
- In the mobile app during a visit, open the location’s structure tree, use the row menu on a structure or floor to Add floor or Add room, or on a room to Add asset with its type and parameters.
- Alternatively, draw rooms with the floor plan editor and add assets there. Remember to Save the floor plan before adding assets to new rooms.
- Link assets to systems via the asset’s Linked Systems picker to generate correct compliance activities.
Assets must be typed accurately as this affects generated compliance work. Assets added by Inspectors or higher roles are approved immediately, while those added by Engineers require approval.
Using the Location Overview and Structures Tabs
The location’s settings tabs provide centralized management of building and installation data.
- Open a location to land on its Overview tab, where you can edit location details such as Name, Address, coordinates, and Opening Hours.
- Use the Structures tab to browse and manage buildings, floors, rooms, and assets.
- Toggle between Cards, Hierarchy, and Assets views for different management perspectives.
Note that there are no separate tabs for systems, assets, or billing; these live under structures or at the organization level. The mobile app’s embedded view simplifies the structure list and limits some UI menus.
Additional Tips
- If building data enrichment from the national registry fails, retry from the location’s Overview tab before entering data manually.
- Areas must belong to a structure before you can add rooms or equipment.
- Deleting structures or areas is a soft delete and requires confirming; ensure no active assets remain in areas before deletion.
- Assign responsible persons and regulatory roles per structure from the View Responsibilities menu, noting that saving these changes requires Manager role.
