BriqSafe is a compliance management application for organisations that manage buildings, inspections, jobs, risk assessments, recommendations, cases, documents and reports. This article explains the main parts of BriqSafe and how they fit together.
Organisations, users and access
Your BriqSafe account gives you access to one or more organisations. An organisation contains its locations, users, settings, compliance records and documents.
- Your access is based on your role, location access and activity-category access.
- Internal users normally start with access to all locations unless their access is restricted.
- External users receive access only to the locations granted to them. An external user with no locations cannot see anything.
- If you belong to more than one organisation, use the organisation switcher to move between them. Each organisation has its own locations, users and settings.
The main roles are Owner, Admin, Manager, Inspector, Engineer and Viewer. The available features and actions depend on the permissions associated with your role.
Locations and building structure
A location represents a physical facility. Each location can contain structures, floors, rooms or other areas, systems and assets.
- Structures contain the building hierarchy.
- Areas organise rooms and other parts of a structure.
- Systems describe installations that serve a location.
- Assets represent equipment recorded at the location.
You can view a location through Cards, Hierarchy and Assets views. The location also provides sections such as Overview, Visits, Jobs, Control Schema, Recommendations, Cases, Documents and Timeline.
How compliance activities are created
BriqSafe uses the configured control rules for a structure, area, system or asset to determine which compliance activities apply. The rules engine evaluates the building configuration and adds the resulting activities to the location's Control Schema.
- Activities can be created when structures, areas, assets or systems are added or changed.
- Activities have a frequency and can produce jobs that need to be scheduled.
- Activities may be mandatory because of the applicable control rules or custom activities added to the Control Schema.
- There is no separate generate step. The Control Schema shows the activities already produced by the rules engine.
If no control regime applies to an area, structure or system, the rules engine generates no compliance activities for it.
Visits and jobs
A visit groups work planned for a location and a date. A job is one activity within a visit, such as recording a reading, completing a form or carrying out follow-up work.
- Managers and above can schedule visits through Scheduler.
- Assigned workers see their visits in My Visits and on My BriqSafe.
- A job's form is determined by its activity type.
- Jobs can be completed, marked as unable to complete, skipped, cancelled or left for review.
- When a visit is signed off, jobs that are still open are skipped automatically and recorded for back-office review.
On mobile, visit and job data can remain available offline. Changes made without a connection are stored on the device and uploaded when connectivity returns. The sync indicator shows changes waiting to upload.
Risk assessments
A risk assessment examines the selected parts of one location. Its scope can include structures, areas and systems; assets are included through the structures and areas in scope.
The assessment is organised into stages, including Location, Systems, Areas, Assets, Logbook & Activities, Control Schema, Technical Recommendations and Risk Conclusion.
- Readings and other information are recorded against the relevant system, area or asset.
- BriqSafe can calculate a Satisfactory or Unsatisfactory result from the recorded information and applicable risk rules.
- An inspector can manually override the calculated result when the required information has been saved.
- The Risk Conclusion contains the risk result and executive summary.
- When all stages are complete, an authorised user can finish the assessment. Finishing locks the assessment and cannot be undone.
Recommendations and cases
A reading that matches a risk rule can create a draft Technical Recommendation or a Case, depending on how the reading was recorded and the applicable rules.
- Draft recommendations appear under Needs Approval and must be approved or dismissed.
- An approved recommendation can add suggested activities to the Control Schema.
- Suggested activities can become follow-up jobs. A recommendation can close automatically after all its suggested activities have a completed job.
- A Case records a compliance issue that needs tracking. Cases move through Open, In Progress, To Review and Closed.
- A repeated match of the same rule does not create another open case for the same asset and rule while the existing case remains open.
Reports and documents
Documents is the shared library for uploaded files and generated reports. Reports are generated in the background and appear with a Processing status until the file is ready. A failed export appears with a Failed status and can be retried when the problem is recoverable.
Reports can include job information, the control scheme, technical recommendations, a location logbook, risk assessment plans and laboratory results. Finished reports are stored in Documents, where users with access can view, download or share them.
My BriqSafe and mobile access
My BriqSafe is the home screen after onboarding. It provides a personal overview of assigned work and accessible locations.
- On the web, it can show job progress, upcoming visits, locations, a locations map and latest reports.
- On mobile, it includes visit progress, quick actions, upcoming visits, locations and latest reports.
- The Scan QR quick action can open an asset or device record when its code is recognised.
- Location and job information is limited to what your account is permitted to access.
The dashboard also provides portfolio views through Dashboard, with Overview, Job Summary and Site Information tabs. The tabs are read-only; the figures are limited by the locations and jobs your account can access.
