Add an asset and link it to systems

Use this article to add an asset during location setup or after new equipment is installed, complete its details, and link it to the systems that serve it.

Before You Get Started

  • The asset must be added to an area. On the floor plan, select a room before placing an asset.
  • The system must already exist under the structure. To create one, open Structures, open the structure's Systems, and add a system. System Type is required.
  • You can link an asset only to systems at the same location.

Add an asset on the floor plan

Use the floor plan when you know where the equipment is located.

  1. Open the floor plan and switch to Assets mode.
  2. Select Add asset.
  3. Select a room, then select an asset type to place the asset in the room. Alternatively, drag the asset type to the required position.
  4. Click Save on the Unsaved changes bar.

Selecting an asset type creates a marker on the plan. The marker does not appear in the Assets list until you save. If you click without selecting a room, the application shows Please select a room first.

Add an asset from the mobile app

Use the mobile app when you find unregistered equipment during an on-site visit.

  1. Open Locations and open the location.
  2. Open the header ⋯ menu and select Tree view.
  3. Expand the structure and floor.
  4. Open the room's ⋮ menu and select Add asset.
  5. Select an asset type in Choose asset type.

The asset is created immediately and is named after its asset type. This screen has no details form, save button, or submit step. Add further details later with Edit.

Approval for mobile additions

An asset added by an Engineer waits for approval. The asset shows a banner stating that it is pending approval. While it is pending, nobody can save changes to its details or change its type. The person who added it can still move or delete the pending asset.

Complete the asset details

Complete the asset record from the Assets list.

  1. Open the asset from the Assets list.
  2. In General, optionally enter a Name. If you leave it blank, the asset type's name remains in use.
  3. Enter the required Asset Number.
  4. Select a Network Position.
  5. Review the read-only Location path.
  6. Click Save.

The QR Code box is for notes only. The code resolved by a scan is set when the asset is added or in the mobile app. Asset characteristics such as manufacturer, manufacturer type, year, or material appear under Parameters when the asset type provides them.

Link the asset to one or more systems at the same location.

  1. Open the asset and select Linked Systems.
  2. Select Link system.
  3. In Select systems to link, search for and select one or more systems.
  4. Confirm the selection. The button shows the number of systems selected.

Already-linked systems show a Linked tag and cannot be selected again. The link also appears under Linked Assets on the system's record.

  1. Open the asset's Linked Systems section.
  2. Select the unlink action for the system.
  3. Confirm with Unlink in the Unlink this system? prompt.

Linking or unlinking does not update the asset's activities immediately. The location is flagged for the next nightly Plan health check, and activities that depend on the link follow at the asset's next rule evaluation or the next time a visit is scheduled.

Review a pending asset

Required role: Inspector or above with asset-edit permission

Reviewers access pending assets through the Assets list.

  1. Open the pending asset. The banner reads This asset is pending approval.
  2. Select Approve and optionally enter a comment, or select Reject and enter a required comment.

Approving a new asset leaves it on the asset record and changes the banner to an approval notice. Rejecting a newly added asset deletes it. Approval runs the risk rules; if the approval run fails, reload the page and reopen the asset to run the rules again.
