Technical recommendations record issues found during a risk assessment. This article explains how to review auto-generated drafts, approve or dismiss them, add custom recommendations, schedule follow-up work, and close completed recommendations.
Before You Get Started
- Auto-generated recommendations appear only when an asset reading crosses a rule threshold during an active risk assessment. Thresholds belong to the control regime, so the same reading can raise a recommendation at one location and not at another.
- Recommendations are available only to users with recommendation access. Users without this access, including Viewers, do not see the recommendations tab.
Understand auto-generated recommendations
Auto-generated recommendations begin as drafts. A draft is a proposal until someone approves or dismisses it.
- Open the risk assessment.
- Open Assets, select the asset, and open its Recommendations tab.
- Find the drafts under Drafts (auto-generated). Each one has an Auto-generated pill.
- Open a draft to review its Problem, Solution, and Priority. Open the Triggered by panel to see the values that crossed the threshold.
The Auto-generated pill shows that a rule is linked to the recommendation. It does not show who created it or whether it is approved. The pill remains after approval, appears on a carried-forward copy in the next assessment, and can also appear on a recommendation raised from a fired rule in the mobile app.
While an assessment is open, the same rule does not create another recommendation for the same asset, system, area, or structure while the existing recommendation is open, dismissed, or approved. A corrected reading can withdraw an unapproved draft when the rule no longer matches. Approved recommendations are not withdrawn.
Review, approve, or dismiss a draft
Use the location-wide recommendations list to review drafts across all assets and other entities.
- Open Locations, select the location, and open Recommendations.
- Under Filters, set Status to Needs Approval, then select Apply Filters.
- Select a draft to open the review panel. Review Suggested activities, Problem, Solution, Priority, and any evidence under Attachments.
- Edit the recommendation if needed, then select Update & review. This saves the edits and changes the status to Approved.
- If no edits are needed, select Update & review without changing the recommendation.
- To discard the draft, select Dismiss, enter a reason of at least 10 characters, and confirm.
Problem and Solution are required. Suggested activities are optional and do not block approval. However, an approved recommendation without suggested activities cannot close automatically because there is no work to match. Recommendations scoped to a structure or the whole location do not offer suggested activities.
Attachments can be JPEG, PNG, or WebP images and PDFs up to 10 MB. HEIC images, recordings, office documents, larger files, and other formats are refused before upload.
Update & review is available to users with recommendation-edit access. Without that access, the review panel is read-only. Approving and dismissing recommendations are web-only actions; mobile users can read and add recommendations but cannot review them.
Add a custom recommendation
Add a custom recommendation when you find an issue that an automatic rule did not raise.
- In the risk assessment, open Technical Recommendations and select Add recommendation. You can also select Add on the location's Recommendations page.
- In New Recommendation, choose an Entity Type: Site, Structures, Areas, Systems, or Assets.
- Unless you selected Site, choose the Entity.
- For an area, system, or asset, optionally choose Linked parameters and add Suggested activities.
- Enter the Problem and Solution, set the Priority, and optionally add evidence under Attachments.
- Select Create.
A custom recommendation is created as Approved; it does not wait for review. Its entity cannot be changed later. A Manager must delete a mistargeted recommendation before it is recreated. A recommendation for the whole location or a structure has no suggested activities and cannot close automatically.
View and filter recommendations for a location
- Open Locations, select the location, and open Recommendations.
- Use Filters to filter by Status, Severity, or Structure, then select Apply Filters.
- Select Clear All to restore the default view.
- Select a row to open its details beside the list.
The page opens with Approved selected. The Status filter also includes Needs Approval. Closed and dismissed recommendations are not listed here; check the asset's History tab to find them. The list shows 20 items per page, and filters remain in the page address when you share the view.
Schedule approved follow-up work
NoteScheduling requires scheduling access. An Inspector may approve a recommendation but cannot schedule it without this access.
- Approve the recommendation. Its suggested activities are added to the Control Schema at their configured frequency.
- Open Scheduler and select To plan.
- Select the follow-up card marked One-time.
- In New Visit, check the prefilled location and Date. Adjust From and Until if needed.
- Set Needs review, confirm the required Assignees, and select Schedule.
Approving a recommendation does not schedule its work. Recommendations raised against an asset, system, or area can reach scheduling. Structure- and location-scoped recommendations retain their suggested activities but do not reach the Control Schema or planner.
Close a recommendation
An approved recommendation closes automatically when every suggested activity has a completed job. The last completed job is linked and closes the recommendation in the same step. Partial completion does not close it.
A recommendation with no suggested activities cannot close automatically. Users with recommendation-edit access can close it manually:
- On the asset's Recommendations tab, open the approved recommendation and select Complete.
- Review the evidence and enter optional Verification notes.
- Select Close recommendation. If no completed job is linked, select Close anyway to force the closure.
A forced close is recorded in the audit trail. Closed recommendations no longer appear under Drafts (auto-generated) or Approved. Check the asset's History tab and its Recommendations section to confirm the Closed entry.
Delete a recommendation
NoteDeletion requires Manager access. Draft recommendations cannot be deleted; use Dismiss instead.
- Open the recommendation and select Delete at the bottom of the detail panel. In an asset, area, or system recommendations tab, you can also open More options and select Delete.
- Confirm Delete in the Delete Recommendation dialog.
Deletion is a soft delete: the record remains behind the scenes and the action is recorded in the audit trail. If deletion fails, the dialog remains open and shows Could not delete. Try again.
Check recommendations in a new assessment
- Open the asset's Recommendations tab in the new risk assessment.
- Review finished work under Completed since last assessment. Compare the Before and After photos, read the Job results and Completed date, and select Open job when you need more detail.
- Review unfinished work in the approved list. These recommendations have a carried-forward tag and the previous assessment's date.
Only approved recommendations carry into a new assessment. Drafts left unreviewed when the previous assessment is finished are not copied. The carried-forward copy has no suggested activities or linked jobs of its own; completed work remains on the original recommendation.
