Collect compliance data at area level

This article explains how to collect compliance data at the area level within a risk assessment. It guides inspectors through recording an area's details, completing compliance parameters, reviewing inherited values, and saving the assessment.

Accessing and Updating Area Details

To begin collecting compliance data for an area, open the relevant area details to enter or update its metadata.

  1. From Things to do , open the Areas tile.
  2. Select the area you want to assess.
  3. In the General section, fill in the Area Name . This is a required field.
  4. Optionally, enter a Description for the area.
  5. If the area is a room, set the Occupancy to either In Use or Vacant . This field appears only for rooms.

Reviewing Facility Type and Control Regime

Both Facility Type and Control Regime are inherited from the parent structure and shown as inherited. You should review these values before proceeding.

  1. Check the inherited Facility Type and Control Regime displayed.
  2. If necessary, override either value. To do so, clear the inherited value and enter the desired one.
  3. To remove an override and revert to the inherited value, use the X button next to the field.

Note that changing the area's Facility Type does not reassign its Control Regime. Overriding will display a warning: Overrides inherited value.

Completing Compliance Parameters

Next, complete the Parameters section with the required compliance measurements for the area.

  1. Fill all required parameter fields in the area’s Parameters section.

Parameters must be complete and saved successfully before other area details can be saved. If any required parameter is missing, saving the entire area is blocked.

Setting Area Status and Saving Changes

The system automatically assesses the area’s status once all fields and parameters are complete. You can manually override this assessment if needed.

  1. In the Status section, review the automatically calculated assessment toggle between Satisfactory and Unsatisfactory .
  2. If your professional judgement differs, manually select Satisfactory or Unsatisfactory . When overridden, a banner alerts: The generated assessment has been manually overridden .
  3. Choose Save changes to store all updates.

If you do not have edit permission, the Save changes button will not be visible.

Additional Notes

  • The Occupancy field only appears for rooms; it has exactly two values: In Use and Vacant . Setting Vacant pauses compliance activities for the room.
  • When an area becomes vacant or returns to active use, update the Occupancy to trigger recalculation of compliance activities.
  • An area inherits the Facility Type and Control Regime from its parent structure. To change compliance requirements, update the parent structure’s Facility Type .
  • Users with read-only access cannot save changes or override assessments.
