This article explains how to complete the location-level assessment sections during a risk assessment. It guides inspectors and managers through filling out the Responsibilities, Description, and regime-specific sections in the Location stage, saving each form, and marking the stage as done.
NoteRequired role: Inspector
Work through the Location stage sections
Use the Location stage to fill in the building- and management-level details that apply to the entire location, complementing the object-level data collection.
- Open the risk assessment.
- Go to the Location stage in the left-hand navigation.
- In the left list under Location, you will see the following items:
- Responsibilities – the required regulatory roles for each Structure, listed under Responsible persons by role.
- Description – general information about the location.
- One entry per regime-specific section that applies at the location level.
- Select each item in turn, fill in the required fields in the detail panel, and click Save.
- Work through every item in the list to ensure all relevant questions are answered.
- Once you have completed all sections, use the Mark as done toggle to indicate the stage is complete.
Notes on Responsibilities
The Responsibilities section lists roles that your location's control regime requires. These roles must be filled by contacts or engineers assigned via the Structure’s responsibilities page outside the risk assessment workflow. The listing shows slots and counts the coverage of assigned or inherited contacts.
Important considerations:
- The Responsibilities item never shows as complete, regardless of how many roles you fill.
- The coverage figures reflect slots filled or inherited but the badge counts only required slots still unfilled; these numbers measure different things.
- Assigning or changing responsible people for these roles is done outside the risk assessment in the Structures section by managers.
Notes on Description
The Description section shows as complete as soon as the location has a name. Open this section and verify the content rather than relying solely on the completeness marker.
Regime-specific sections
The number and type of regime-specific sections depend on the location's control regime and not on the types or answers listed at the area level. Changing an area's type or features does not affect these sections.
These sections report their own progress and only show complete when they have saved values.
Add or assign contacts for responsibilities (Mobile App)
If a responsibility role is empty and the responsible person is not yet in the contacts list, you can add them directly from the mobile app without leaving the assessment.
- Open the risk assessment on your mobile device.
- Go to the Location stage.
- Select the Responsibilities tab.
- In the Responsible persons by role card, tap a role that reads No contact assigned.
- When the picker opens on Person, tap Create new contact.
- Fill in the contact's Name, Email, Phone (optional but must be in international E.164 format if entered), and Contact Type.
- If available, expand Certificate — optional to attach certificates.
- Tap Save to create the contact and assign it to the role in one step.
Note that creating a contact here requires an internet connection and appropriate permissions (assessment-edit and responsibility-assignment access). Without them, the form cannot be saved.
Marking the Location stage as done
After completing all forms in Location, mark the stage as done to progress the risk assessment.
- Review that you have filled and saved every section under Location.
- Toggle Mark as done for the Location stage.
Important considerations:
- Mark as done is a manual, permission-gated toggle and not a completeness check; no warning is shown if some sections are empty.
- The share progress ring in the assessment header updates only when stages are marked done.
- The Location stage must be marked done, along with the other stages, before the final Risk Conclusion unlocks.
