Fill in responsibilities for tasks

This article explains how to fill in the list of users responsible for control measures during a Risk Assessment. It is intended for users conducting risk assessments who need to assign responsibilities accurately within the assessment process.

Assigning Responsibilities in the Location-Level Assessment

During a Risk Assessment, you need to fill in the list of users who are responsible for the control measures as part of the Location stage.

  1. Open the risk assessment and navigate to the Location stage.
  2. In the list on the left, locate and select the Responsibilities section, which holds the contacts and engineers related to the control measures.
  3. In the detail panel that opens, enter or update the users responsible for various control measures as required by your organisation's regime.
  4. Save the Responsibilities section after filling in the necessary details.
  5. Complete all other location-level regime-specific sections as needed, then use Mark as done to complete the Location stage.

Note: The type and number of regime-specific sections, including responsibilities, depend on the configured control regime for the location. Changing the type of an area or structure will not affect which location-level sections appear.

Additional Context on Responsibilities and Roles

Responsibility assignments are part of the building- and management-level requirements in the assessment and are distinct from tasks assigned to individuals during scheduling or job management.

Assigning responsibilities here is limited to naming the users accountable for controls and does not involve creating jobs or scheduling tasks.

Permissions and Role Requirements

Only users with at least Inspector role can edit and save assessment data, including responsibilities. The Mark as done button becomes available once all required sections, including Responsibilities, are saved.

Managers and roles above may create risk assessments, but filling in responsibilities is done within the assessment by Inspectors or higher.

  • Setting the scope before starting an assessment ensures responsibilities are assigned within the correct area of the location.
  • After assigning responsibilities, monitor the progress using the assessment completeness indicators.
  • To communicate responsibilities externally, use the client contacts directory and maintain users' roles and access permissions accordingly.
