Generate and share a risk assessment report

This article explains how to generate, preview, and share a completed risk assessment report as a PDF within BriqSafe. It is intended for engineers and viewers involved in producing and distributing the formal risk assessment documentation.

Required role: Engineer to generate reports; Viewer role is sufficient to open and download existing reports.

Generate the Risk Assessment Report

Follow these steps to produce the formal compliance report for a risk assessment based on the location's regime.

  1. Open the risk assessment you want to report on.
  2. Go to the Generate Report section.
  3. Confirm that the Report Type, Site, and Risk Assessment fields are pre-filled and locked. The Report Type corresponds to the location's regime and will show either PPCL — Plan de Prevención y Control de Legionella or PSL — Plan Sanitario de Legionella.
  4. Optionally select a Report Preset. By default, this is set to Default configuration.
  5. Select Generate Report to start report creation.

The report status updates from Processing to Ready. If you need a fresh copy after changes or want to apply a different preset, use Regenerate.

Note: You do not need to finish the assessment before generating the report; it reflects the current assessment data at generation time. The report always covers the entire risk assessment scope and cannot be limited by structure, area, or asset at report time. The report type is fixed by the location's regime and cannot be switched.

Preview and Download the Generated Report

After the report is generated and marked as Ready, you can preview and save the PDF.

  1. Open the generated report entry from the Documents page.
  2. Select Download to save the PDF file locally.

A time-limited download link is issued and the file is saved. If the link expires (within one hour), reopen the entry to generate a new download link.

Share the Risk Assessment Report by Email

You can send the generated report directly to colleagues within your organisation using the platform's sharing feature.

  1. Open the report entry in Documents.
  2. Select Share or Send via system.
  3. Use the recipient picker to select one or more active members of your organisation. You can also optionally add CC recipients.
  4. Set the email subject and include a message if desired.
  5. Send the email.

Recipients receive an email containing a secure download link to the PDF. This link expires 24 hours after sending, so recipients must download the report within that time frame.

Important: You cannot enter arbitrary external email addresses — only active organisation members can be selected as recipients. The file is shared as a link, not as an attachment.

Locate and Manage Generated Reports

All reports generated within the platform are auto-saved into the organisation's Documents library. To find your reports:

  1. Open the Documents page from the sidebar.
  2. Use filters such as Type, Sort By, and Order to locate the report.
  3. Open the report entry to view details, download, or share.

Generation is asynchronous, so allow some time for the report to complete processing. If generation fails, the entry shows a Failed status with an option to Retry generation.

Additional Considerations

  • Report content may not be fully translated into Spanish, Dutch, German, French, or Italian since auto-translation is not currently supported.
  • The report scope is controlled by the risk assessment itself; you cannot adjust the scope when generating these regime-specific reports.
  • Engineer role is required to generate reports, whereas anyone with report-view rights can open, download, and share existing reports.
  • Download links expire after one hour for local saves and after 24 hours for emailed links, ensuring secure access management.
