Record system-level compliance data

This article explains how to record system-level compliance data during a Risk Assessment. It is intended for inspectors working in the Systems phase who need to capture system information, complete compliance parameters, review linked assets and schematics, and confirm their assessment.

Accessing and Completing System Information

Complete the general information and parameters for a system under assessment.

  1. From Things to do, open the Systems tile.
  2. Select the system you want to assess from the list.
  3. Go to the General tab and fill in the System Name (this is required), Operational Status, and Description fields.
  4. Review Linked Assets and Schematics associated with the system to understand the equipment and documentation connected to it.
  5. Complete the Parameters section by entering the regime-specific readings relevant to that system.

Setting and Confirming the System Assessment

After entering system parameters, set the assessment status and confirm your evaluation.

  1. Navigate to the system's Assessment section.
  2. Once every required field is filled, the system is automatically assessed. The toggle shows either Satisfactory or Unsatisfactory based on the parameters entered.
  3. If you disagree with the automatic evaluation, manually override the status by selecting either Satisfactory or Unsatisfactory.
  4. Save your changes. The Save button changes to Confirm assessment once all mandatory fields are complete.

Note that under an enforcing control regime, the Satisfactory/Unsatisfactory toggle remains disabled until the system has been assessed at least once by saving the parameters. Read-only users do not see the save button or can change this status.

Important Considerations

  • There is no separate compliance form per structure within the assessment; structure compliance derives from the systems, areas, and assets beneath that structure. Structures are accessed via View Structures on the assessment overview header, not from the Systems screen.
  • Manual overriding of the assessment status records an audit trail and keeps the automatic evaluation visible beneath the toggle. To revert to automatic evaluation, deselect the manual status and save again.
  • Linking assets to systems during asset setup determines which compliance activities are generated for those assets. Systems listed for linking are limited to the same location as the asset.
  • After completing and saving the system assessment, ensure your entries accurately represent the observed conditions for compliance tracking and follow-up.
