Schedule technical recommendations as jobs

Use this article to turn an approved technical recommendation into a scheduled, one-time corrective job. It is intended for Managers who plan follow-up work in the Scheduler.

Before You Get Started

  • The recommendation must be approved. Only approved recommendations reach the planner.
  • The recommendation must be raised against an asset, system, or area. Recommendations raised against a Structure or the whole Location do not add activities to the Control Schema and do not appear in the planner.
  • Suggested activities left at the default one-time frequency become one-time activities. If an activity was changed to a daily, weekly, or monthly frequency, it is planned as recurring work instead.

Approve the recommendation

If the recommendation still needs approval, review it before planning the visit.

  1. Open Locations, then Recommendations.
  2. Under Filters, set Status to Needs Approval and select Apply Filters.
  3. Select the draft recommendation. Review its Suggested activities, Problem, Solution, Priority, and Attachments.
  4. Make any required changes, then select Update & review. If no changes are needed, select Update & review without editing. The recommendation status becomes Approved.

Problem and Solution are required. A recommendation without suggested activities can be approved, but it cannot close automatically because there is no work to match.

Schedule the one-time follow-up job

  1. Open Scheduler from the sidebar.
  2. Select To plan. This option is available in week, day, and agenda views, but not in the month view.
  3. Find the follow-up card marked One-time and select it.
  4. In New Visit, check the prefilled Location and Date.
  5. Adjust From and Until if needed. They start at the current time and one hour later because a one-time card has no suggested times.
  6. Set Needs review as required and confirm the Assignees.
  7. Select Schedule.

The visit is marked One-time. If the visit also contains recurring jobs, it is marked incl. one-time.

Understand what appears in the planner

  • Approving a recommendation adds each suggested activity to the asset, system, or area's Control Schema at the frequency set on the activity.
  • An all-one-time activity card has a One-time badge. A card containing both one-time and recurring work has an incl. one-time badge.
  • A one-time card disappears after its job is scheduled. If the job is cancelled or skipped, the work appears again when the planner refreshes.
  • If the location already has a recurring activity of the same type, the follow-up may be included in that activity's recurring card instead of appearing as a separate one-time card. Schedule the recurring card; the follow-up job is added to that visit.
  • After the app reloads, unplanned work is hidden until To plan is selected again in week, day, or agenda view.

Resolve scheduling issues

  • If Schedule is disabled, select an assignee. A suggested engineer is prefilled only while that engineer is active and allowed at the location.
  • If no card appears, confirm that the recommendation is approved, the activity is scoped to an asset, system, or area, and To plan is enabled in a supported calendar view.
  • If the activity was changed to a recurring frequency, look for its recurring planner card. It will not have a One-time badge.

What happens after the job is completed

The approved recommendation closes automatically when every suggested activity has a completed job. Partial completion does not close it. Complete the follow-up job from the visit's job list by opening its Actions tab, completing the activity form, and selecting Complete Job.

If automatic closure does not occur, the recommendation remains approved. A recommendation can also be closed manually in the web app by a user with recommendation-edit access.
