Understand auto-generated technical recommendations

This article explains how BriqSafe creates Technical Recommendations when asset readings match risk rules, how to review the resulting drafts, and why recommendations may be withdrawn, carried forward, or replaced by a Case.

Before You Get Started

• Sensor-generated drafts require an active Risk Assessment at the location.
• The assessment uses the thresholds defined by its control regime. The same reading can create a draft at one location and create none at another.

Record parameters and trigger an evaluation

Enter the asset readings so the system can evaluate them against the applicable risk rules.

1. Open Assets, select an asset, and open Parameters.
2. Enter the measured values. A field that breaks a risk rule receives a yellow outline and an issue counter while you type.
3. Open the issue counter to view Compliance issue. This shows each rule that fired, its risk level, and its legal explanation.
4. Select Save. If shown, enter an optional Reason for change, then select Save again.

The values are submitted first and the compliance rules then run again. A confirmation message reports how many new Technical Recommendations were created. This message does not count recommendations when an Engineer saves an asset that is already approved.

A field without an issue counter is not proof that the value passed. It only means that no risk rule fired for that value. If you change the asset type, parameter values that the new type does not use are cleared from the Parameters form and are excluded from rule evaluation, although their history remains available.

Understand how drafts are created

When a reading crosses a control-regime threshold, the platform can create a draft recommendation automatically.

• For assets, a breach recorded during a job, or saved outside a job by an Engineer or Inspector, creates a Case instead of a draft recommendation.
• An asset draft is created when a Manager or above saves the breach outside a job, or when an evaluation runs without a user starting it.
• Systems, areas, and structures create draft recommendations when their rules match.
• A sensor-filled asset reading that matches a rule creates only a draft Technical Recommendation, never a Case or an automatic escalation, provided the location has an active Risk Assessment.

Each draft records the rule result rather than confirming that work must happen. It remains a proposal until someone approves or dismisses it.

Find and review an auto-generated draft

Review the rule result before deciding whether it should become active work.

1. Open the risk assessment, select Assets, and select the asset.
2. Open the Recommendations tab.
3. Find the draft at the top under Drafts (auto-generated). It has an Auto-generated pill.
4. Open the draft and review Problem, Solution, Priority, and the Triggered by panel. The panel lists the values that crossed the threshold.

The Auto-generated pill means that a rule is linked to the recommendation. It does not show who created it or whether it is approved. The pill remains after approval, appears on a carried-forward copy in the next assessment, and can appear on a recommendation raised by a colleague from the mobile app.

Note

Recommendation-edit access is required to approve or dismiss a draft. Users without that access can open the recommendation in read-only mode.

1. From the location, open Recommendations, set the Status filter to Needs Approval, and select Apply Filters.
2. Select the draft. Review or update Suggested activities, Problem, Solution, Priority, and any Attachments.
3. Select Update & review to save changes and approve the recommendation.
4. To discard it, select Dismiss, enter a reason of at least 10 characters, and confirm.

Problem and Solution are required for approval. Suggested activities are optional, but an approved recommendation without suggested activities cannot close automatically.

Understand duplicate recommendations and withdrawals

A draft recommendation is linked to one entity and one rule. While the assessment is open, another breach of the same rule for that entity does not create a second recommendation when the existing recommendation is still open as a draft, dismissed, or approved.

• A different rule or a different entity can create another recommendation.
• If a higher-risk rule fires for the same parameter, only that rule creates the recommendation. If the risk is equal, the higher-priority rule is used.
• After a recommendation closes, the same rule can create a new draft if the issue happens again.
• If a corrected reading no longer matches the rule, an unapproved draft is withdrawn automatically. Withdrawal is skipped if any rule errors during that evaluation.
• Deleting a recommendation removes it from this check and allows the rule to create a new draft.

When a new Risk Assessment job is created for the location, open drafts from the previous completed assessment are withdrawn and open approved recommendations are copied into the new assessment. A visit created from a visit template or a list of activities does not perform this withdrawal or copying.

Know when the recommendation closes

An approved recommendation closes automatically only when every one of its suggested activities has a completed job. The last completed job is linked and closes the recommendation in the same step. A recommendation with no suggested activities cannot close automatically.

Closed recommendations no longer appear under Drafts (auto-generated) or Approved. To confirm the result, open the asset's History tab and check the Recommendations section for a Closed entry.

An approved recommendation can also be closed by hand by a user with recommendation-edit access. If no completed job is linked, the close-out process warns that there is no completed work; selecting Close anyway forces the closure and records it in the audit trail.

Distinguish a Technical Recommendation from a Case

A completed job can create a Case when a reading breaches its threshold. The breach does not block job completion; it is evaluated on the server after completion. Repeated matches of the same rule for the same asset do not create another Case while one is open. A later match waits until the previous Case is closed and can raise its severity to Critical.

If a failing asset reading was saved by an Engineer or Inspector, or was recorded during a job, look for a Case rather than a draft Technical Recommendation.
