This article explains how to assess a water installation, review risk findings, define follow-up controls, and generate a PSL report in BriqSafe.
Before You Get Started
- Set up the location with its structures, areas, systems and assets.
- Make sure the location has an active control regime. The control regime supplies the assessment sections, forms and risk thresholds.
- An assessment can cover one location only and must stay within one control regime.
Create and scope the risk assessment
NoteRequired role to create an assessment: Manager or above.
- Open the location and select Structures.
- On a structure card, select Create risk assessment. If assessments already exist, open the Risk Assessment dropdown and select Create new risk assessment.
- In Create Visit, set the required Date, choose Assignees or Leave unassigned, set Requires back-office review, and check the pre-filled Visit name.
- Under Scope, select Choose location and choose the structures, areas or systems to assess.
- Select Add job, then Create visit.
The first item selected sets the control regime for the assessment. Items from another regime are greyed out. To use a different regime, clear the selected items and select an item from the required regime first.
To change the scope later, open the assessment and select Scope for analysis. In Change scope, select the structures, areas and systems, then select the ✓ (Confirm) button. Scope does not include individual assets; assets are included through the selected structures and areas.
Complete the assessment
Use the four data-collection stages under Things to do: Location, Systems, Areas and Assets. Open each stage, complete its required fields and select Mark as done.
Location information
- Open Location.
- Complete Responsibilities, Description, each regime-specific section and, when shown, Building evaluation for every structure.
- Save each item and select Mark as done when the stage is complete.
The regime-specific sections depend on the structures in scope. Responsibilities does not show as complete automatically, so check the required role slots directly.
Systems
- Open Systems under Things to do.
- Select a system and complete General, including the required System Name, Operational Status and Description.
- Review Linked Assets and Schematics.
- Complete and save the regime-specific readings under Parameters.
- In Assessment, select Satisfactory or Unsatisfactory only when all required fields are complete, then select Confirm assessment.
Areas
- Open Areas and select an area.
- Complete Area Name, and, for rooms, set Occupancy to In Use or Vacant.
- Review the inherited Facility Type and Control Regime. Override or clear them if needed.
- Complete Parameters, save the area, and select Confirm assessment when all required parameters are filled.
- To override the result, select Satisfactory or Unsatisfactory under Status, then save again.
Assets
- Open Assets and select an asset under its area.
- Complete the identifying fields, including the required Asset Number. Set Network Position to Near source, Mid network or Far from source when applicable.
- Complete and save Parameters, either manually or from a connected sensor.
- Review Linked Systems, Sensors, Linked Assets, Cases and Activity History as needed.
- In Assessment, select Satisfactory or Unsatisfactory, then select Confirm assessment.
If a reading crosses a risk threshold, BriqSafe can create a draft technical recommendation automatically. A manual assessment override keeps the calculated value for the audit trail. To return to automatic evaluation, clear the manual status and save.
Review controls and recommendations
- Open Logbook & Activities under Things to Review.
- Select an asset type, open the Activities tab, answer each question with Yes or No, and select Save.
- Repeat for each asset type, then select Mark as done.
- Open Control Schema and review the required activities, their frequency and their status.
- Open Technical Recommendations and review automatic drafts under Drafts (auto-generated). Select a draft to check its Problem, Solution, Priority and Triggered by values.
To approve a draft, open it from Locations > Recommendations, filter Status to Needs Approval, and select Apply Filters. Select the draft, complete any required edits, and select Update & review. To discard it, select Dismiss and provide a reason of at least 10 characters.
Approving a recommendation adds its suggested activities to the control schema. A recommendation closes automatically when every suggested activity has a completed job. Recommendations with no suggested activities must be closed manually.
Review the risk conclusion and generate the PSL report
NoteGenerating a report requires Engineer or above. The assessment must be finished before the report can be downloaded.
- Open Risk Conclusion after the other seven stages are marked done.
- Review the risk gauge and each risk group's Score.
- Complete Executive Summary, or select Generate, then review and correct the draft and select Save.
- Under Generate Report, confirm the read-only Report Type shows PSL — Plan Sanitario de Legionella.
- Optionally select a Report Preset and set Libro de Registro or Incidencias for this report.
- Select Generate Report. When the status changes to Ready, select Download.
Generate or regenerate the report before finishing the assessment. Finishing hides the report form and cannot be undone.
Finish the assessment and plan follow-up work
NoteFinishing the assessment requires permission to edit the assessment. Scheduling follow-up work requires Manager access.
- In Risk Conclusion, select Finish assessment.
- Read the warning in Finish risk assessment?, then select Finish assessment again.
- For an approved recommendation, open Scheduler and select To plan.
- Select the recommendation's one-time card, confirm the Date, Assignees and visit details, then select Schedule.
Finishing locks the assessment and its conclusion. Approved recommendations that are not completed carry forward to the next assessment; draft recommendations do not.
